ABOUT THE POSITION
• Manage First Impressions:
- Field/transfer external phone calls, taking messages when necessary
- Greet, make office visitors feel welcome and direct them to the relevant person
- Keep breakroom, reception and conference rooms presentable
• Handle shipping needs, mail collection/distribution and check deposits
• Manage Building/Maintenance/Vendor communication
• Coordinate Internal/External Conference Room Scheduling. Preparation for Customer/Partner meetings
• Keep office supplies and breakroom stocked, monitoring, and ordering when needed
• Travel Booking as needed for Conferences and Business Trips
• Assist the Human Resources department with various administrative tasks, including but not limited to
- Employee onboarding & offboarding
- Thumbs Up and other Internal Employee Recognition Program tracking
- Act as primary contact for payroll issues between Pegasus and PEO
- Complete ad hoc analysis as it relates to compensation and benefits
- Prepare offer letters, coordinate background checks and oversee completion of new hire paperwork
(done via PEO portal)
- Send out Birthday presents. Oversee cards and gift cards.
- Performance review coordination
- CDP template updates
- Verification of employment
• Assist the Marketing department with various administrative tasks, including but not limited to:
- Internal Event coordination
- Updates within Hubspot
- Website updates
- Office visit preparation

JOB REQUIREMENTS
• Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
• Knowledge of office management systems and procedures
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
