Scheduling Assistant, Caring Neighbors Program

+--------------------------------------------------------------------------+ | GENERAL PURPOSE | +--------------------------------------------------------------------------+ | Under the supervision of the Caring Neighbors Program Manager, the | | Scheduling Assistant will provide administrative support with scheduling | | client appointments for Caring Neighbors volunteers, specifically in the | | Volunteer to Work program. | +--------------------------------------------------------------------------+
+--------------------------------------------------------------------------+ | POSITION RESPONSIBILITIES | +--------------------------------------------------------------------------+ | · Receive and respond to client calls requesting rides, visits, | | or light housekeeping services, entering requests accurately into the | | online scheduling program (Assisted Rides). | | | | · Work with Program Manager to create a weekly schedule of | | client appointments for participants in the Companion Aide Volunteer to | | Work program, taking into account client needs, relative locations and | | travel times, and volunteer and client preferences. | | | | · Communicate the schedules to volunteer participants, | | confirming that they have the information they need to be punctual and | | prepared for appointments. | | | | · Confirm appointments with clients 24-48 hours before the | | scheduled time. | | | | · Communicate with volunteers regularly to ensure that completed | | trips and services are entered accurately in Assisted Rides, with time | | spent and miles traveled. | | | | · Work with volunteers to create bi-weekly invoices and mileage | | reports, so that stipends and mileage reimbursements can be paid | | accurately and in a timely manner. | | | | · Other tasks as assigned by the Program Manager to support the | | Caring Neighbors Program. | | | | | +--------------------------------------------------------------------------+
+--------------------------------------------------------------------------+ | ESSENTIAL SKILLS AND EXPERIENCE | +--------------------------------------------------------------------------+ | · Education: Graduation from high school or equivalent. | | | | · Experience using Microsoft Office, and Google Maps, and | | comfortable learning new software. | | | | · Ability to be pleasant and professional when talking on the | | phone. | | | | · Excellent written and verbal communication skills. | | | | · Reliable, trustworthy, and able to manage sensitive and | | confidential information with integrity. | | | | · Experience providing customer service or administrative | | support, especially in scheduling. | | | | · Experience working with older adults or volunteers. | | | | · Ability to organize and complete multiple tasks. | | | | · Ability to understand and follow written and oral instructions | | and work independently. | +--------------------------------------------------------------------------+
