Job Description: Performance Coach

Position Purpose
The Performance Coach is responsible for the professional, high-quality delivery of performance coaching, personal training, and assessment/screening services within Project Wellbeing. This role is a vital part of the Performance Coaching team, dedicated to executing technical standards and ensuring exceptional member results under the direction of the Performance Director.

Operational Accountability (Basecamp – Mandatory)
Basecamp is the mandatory system of record for role responsibilities, task assignments, due dates, and status updates. The performance coach is fully accountable for reviewing Basecamp daily, completing assigned tasks on a management-defined cadence, and maintaining accurate, real-time updates. Any risk of delay must be escalated in Basecamp before the due time with the constraint and proposed resolution.
Essential Functions and Responsibilities
Maintain an active coaching caseload and schedule, delivering high-quality personal training and performance coaching sessions.
Apply appropriate programming principles to create individualized training plans for general population, tactical, and high-performance athletes as applicable.
Use objective data (assessment results, readiness, training history, recovery inputs) to drive programming decisions and communicate the “why” clearly to clients.
Maintain up-to-date client profiles, programming, and recovery protocols for all assigned clients.
Coordinate with physical therapy and recovery teams to ensure training plans respect clinical restrictions and recovery priorities when applicable.
Actively promote and integrate memberships at Project Wellbeing, ensuring non-members are warmly handed off to the Membership Sales team.
Administer and interpret assigned assessments (VO2, RMR, DARI, PEDICS, VALD, DEXA, and future additions) as needed, following all SOPs.
Adhere to assessment SOPs for preparation requirements, contraindications screening, informed consent process (as required by company policy), data capture, and documentation.
Ensure assessment results are translated into actionable training and recovery recommendations and are properly reflected in Trainerize programming.
Trainerize is mandatory for all personal training clients, performance coaching clients/members, and physical therapy patients. All clients must have their appropriate full programs and/or nutrition programs inside of Trainerize.
Maintain Basecamp (or the company’s designated task system) with accurate, current role tasks, departmental deliverables, and execution updates aligned with Trainerize and Mindbody records. Basecamp is the system of record for task completion and accountability. If it isn’t documented in the system of record, it is treated as not completed.
Maintain 100% compliance with Trainerize usage: active accounts, current programming, session documentation, and required integrations throughout the client journey.
Maintain Basecamp (or the company’s designated task system) client cards/profiles so they are accurate, current, and aligned with Trainerize and Mindbody records.
Document all client work, as what is not documented in the system of record is treated as not completed.
Adhere to standardized coaching expectations: session structure, cueing standards, safety protocols, client communication, and service experience.
Actively participate in all scheduled performance reviews, touch point meetings, and continuing education workshops.
Maintain a clean, organized, and safe training environment: weight floor, cardio areas, and assessment labs. Execute daily reset expectations.
Immediately address unsafe practices and document incidents per company policy.
Maintain required certifications throughout employment (including AED and First Aid). No lapses permitted.
Enforce all training SOPs and safety protocols daily.
Maintain appropriate client and company privacy and confidentiality at all times.
Scheduling and Availability Requirements
Minimum twenty (20) hours per week of bookable availability for client training sessions and performance evaluations (Active Coaching Caseload).
Willingness to work non-traditional hours (early mornings, evenings, weekends) as required to meet client demand and departmental targets.
Consistent responsiveness for operational issues and assessment suite uptime.
Performance Scorecard (Minimum Standards)
Standards are monitored continuously and may be updated by the AVP of Operations. All performance, including adherence to these standards, will be formally assessed and rated by the Performance Director. Failure to meet mandatory requirements or persistent underperformance may result in corrective action up to and including termination.

Qualifications and Requirements
Education and Experience
Bachelor’s degree in Kinesiology, Exercise Science, or related field
Minimum 1-2 years professional coaching experience in a high-end gym or performance center (required).
Certifications
Current nationally recognized personal training certification (e.g., NASM, ACSM, NSCA, ACE) (required).
CSCS (preferred).
Current AED and First Aid certification (required; must remain current throughout employment).
Technical Proficiency
Experience with metabolic testing (VO2 max and RMR) (preferred).
Experience with body composition testing (DEXA, InBody BIA) (preferred).
Experience with movement/biomechanics technology (DARI motion analysis, PEDICS, and VALD systems) (preferred).
Software: Trainerize and Mindbody proficiency (required) plus reporting tools.
Ability to interpret data and communicate results in plain language that drives adherence.
