    Location: Multiple locations – Fullerton/Kimball, Lombard – Must be able to follow the respective parties wherever they will be at. Must have a car with clean driving record

    Supervisor: Owner – Dr. Xia COO – Heather Cottini

    Pay: - 18.00 to $ 20.00 an hour.

    If you travel to various locations, then travel expenses will be given once a month. That will be discussed upon interview.

    Hours – Monday through Friday – 9am to 5pm with some flexibility on Saturday and Sunday

    Some hours outside the normal business hours will be needed. Flexibility is a must for this position

    Role: A personal assistant or personal receptionist should be able to play a vital role in enhancing productivity by managing both professional and personal tasks for the Owner, COO, and the Facility Administrator. The person is required to blend the organization skills, have effective communication skills and the ability to handle diverse responsibilities effectively.

    Responsibility and Duties

    Administrative Support – Organizing and keeping the schedule for the employer’s calendar on meetings, appointments and events.

    Communication management – Preparing reports, memos, invoices, and other documents. Handling of all emails for the respected parties.

    Travel Arrangements – Coordinating travel arrangements, including flights, hotel bookings and transportation for all respected parties.

    Event coordination – Handling of all events for the respected parties and the company

    Maintaining files and documents for the personal needs of the Owner, COO, and the Facility Administrator in a both physical and digital organized manner.

    Personal tasks – Handling any additional tasks or duties as required by the employer

    Requirements Must have 1-2 years in the medical field as a personal assistant or receptionist

    Must be at least a high school graduate and or some college background in the medical administrative field Must be detailed organizational skills

    Must have very strong time-management skills

    Must have great communication skills

    Must be technical proficiency

    Must have the ability to practice active listening and pay attention to details

    Must be able to proactively approach problem solving to manage responsibilities with minimal oversight

    Must be able to work independently

    Must be able to use discretion and confidentiality
