    General Statement of Responsibilities

    The Personal Injury Intake Specialist is the first point of contact for potential clients seeking representation for personal injury cases at Javaheri & Yahoudai, A Professional Law Corporation. This includes, but is not limited to, cases involving:

    Auto accidents (car, motorcycle, rideshare)

    Slip and falls & premises liability

    Dog bites

    Elder abuse & neglect

    The Intake Specialist plays a critical role in assessing case viability, gathering accurate client and incident details, and providing a compassionate and professional experience that reflects the firm’s commitment to exceptional client service. This position requires attention to detail, strong listening skills, and the ability to work under time-sensitive conditions.

    Essential Responsibilities

    Client Intake & Screening

    Answer inbound calls, online form submissions, and direct referrals within established timeframes.

    Use approved intake scripts to guide initial conversations and ensure all relevant facts are collected.

    Conduct preliminary case evaluation for auto accidents, slip and fall, dog bites, and elder abuse cases, documenting:

    Date, time, and location of incident

    Injuries sustained

    Medical treatment received

    Liability details

    Insurance coverage (if applicable)

    Accurately document all information in the case management system (Litfy, or equivalent).

    Flag potential high-value cases for manager review.

    Client Communication & Follow-Up

    Build trust and rapport with potential clients by demonstrating empathy and understanding their needs.

    Follow up on pending leads to secure additional information or determine status.

    Provide timely status updates to prospective clients and explain next steps.

    Follow firm escalation procedures for complex cases or clients requiring urgent attention.

    Documentation & Data Management

    Ensure all intake records, call logs, and case notes are properly completed and filed in the case management system.

    Track and document all follow-up attempts and client communications.

    Verify data accuracy, including correct spelling of names, dates, and incident descriptions.

    Collaboration & Coordination

    Work closely with Case Managers, Investigators, and Attorneys to ensure seamless handoff of qualified cases.

    Flag any incomplete, conflicting, or unclear case information for internal review.

    Participate in weekly intake team huddles to review process updates and case trends.

    Compliance & Confidentiality

    Maintain 100% confidentiality of all client and case information.

    Comply with HIPAA, California privacy laws, and internal firm protocols on data handling and security.

    Adhere to all scripts, disclosures, and intake guidelines established by the firm.

    Qualifications

    1-3 years experience in personal injury intake, legal intake, call center intake, or client services role in a law firm or healthcare setting.

    Strong working knowledge of personal injury case types, including auto accidents, slip and fall, dog bites, and elder abuse.

    Excellent verbal communication skills – able to gather facts while building rapport with potential clients.

    Demonstrated ability to multi-task in high-volume environments.

    High level of attention to detail in data entry and documentation.

    Ability to follow scripts and procedures while adapting to different client personalities.

    Experience with Litify, Filevine, PracticePanther, or similar legal case management software preferred.

    Bilingual (Spanish) is required.
