    About the Role

    I am looking for a highly organized, proactive, and trustworthy Personal / Operations Assistant to support me with both business and day-to-day operational tasks.

    This role is ideal for someone who enjoys creating order, managing details, following through, and helping a business owner stay focused on growth. The right person will be professional, resourceful, tech-savvy, and comfortable supporting a fast-moving business with multiple projects, clients, systems, and priorities.

    This is not a basic admin role. I need someone who can think ahead, keep things organized, follow up without being reminded, and help make sure important tasks do not fall through the cracks.

    Responsibilities

    Executive and Personal Support

    • Manage calendar items, reminders, appointments, and scheduling needs
    • Help organize tasks, priorities, deadlines, and follow-ups
    • Assist with email organization, drafting, and response tracking
    • Make calls, send messages, and follow up with vendors, contacts, or partners as needed
    • Help coordinate personal and business errands, appointments, and logistics
    • Keep information organized and easy to access
    • Help reduce day-to-day administrative pressure on the business owner

    Business Operations Support

    • Assist with client onboarding and internal follow-up
    • Update CRM records, spreadsheets, project trackers, and business systems
    • Help organize leads, proposals, client notes, and follow-up tasks
    • Support basic reporting, checklists, and workflow updates
    • Assist with social media, marketing tasks, and content organization
    • Help prepare documents, proposals, SOPs, and client-facing materials
    • Track outstanding tasks and make sure next steps are completed
    • Help improve internal processes and keep business operations organized

    Project and Team Coordination

    • Help coordinate tasks between team members, contractors, vendors, and clients
    • Follow up on open items and due dates
    • Maintain project boards or task-management systems
    • Help prepare for meetings and organize notes afterward
    • Track action items and ensure accountability
    • Identify missing information or delays before they become bigger issues

    Required Qualifications

    • Prior experience as an Executive Assistant, Personal Assistant, Operations Assistant, Administrative Assistant, Project Coordinator, or similar role
    • Strong computer and communication skills
    • Ability to manage calendars, email, documents, spreadsheets, and task lists
    • Comfortable using cloud-based tools and business software
    • Strong attention to detail
    • Reliable transportation for occasional local errands or in-person needs
    • Located in or near Jacksonville, Florida
    • Ability to maintain confidentiality
    • Professional references preferred

    Preferred Experience

    Experience with any of the following is a plus:

    • Microsoft Office / Microsoft 365
    • Google Workspace
    • Monday.com, Asana, ClickUp, Trello, or similar project-management tools
    • GoHighLevel or other CRM systems
    • Canva
    • Social media scheduling tools
    • Basic marketing or ad campaign support
    • Client onboarding or customer service
    • Recruiting, scheduling, or operations support
    • Small business or entrepreneur support

    Schedule

    This position will likely begin part-time, with the opportunity for additional hours as the role grows.

    A consistent weekly schedule is required, but some flexibility working remotely is available. In-person support in the Jacksonville area will be needed.
