We seek people who are not afraid of computers or learning new things that will make their jobs easier. You must be able to handle working with several different databases of information. If you aren’t 100 percent confident managing data and people, you are not the right person for this job. You must be competent and proficient in the use of WordPerfect (and/or Word), Outlook, and office equipment like copiers and scanners, at a minimum. If you are familiar with legal case management software, that is a plus. We are fully invested in policies and procedures and systems. We believe in a team approach, where you can ask for help when you need it without fear of being judged. But at times, you will also need to know how to figure things out on your own and be able to creatively solve problems and come up with solutions. You must be able to think on your feet and make smart decisions. If you can’t think on your feet, please do not apply. Responsibilities: • Maintain and update case, relationship, document and other mission-critical management systems • Set up and manage new client and Firm files; close files at conclusion of the case; maintain and organize client files • Conduct estate planning signing meetings in compliance with outlined procedure; witness and authenticate signatures as Notary Public • Handle frequent phone calls from clients and diligently place and return calls to clients as case needs require and at direction of attorneys • Maintain calendars, schedule appointments, post tasks and deadlines; and ensure the Firm and team's calendars are accurately maintained and organized in a logical and efficient manner • Proactively ensure client issues are brought to attention of attorney throughout the process, and ensure attorneys are prepared for all appointments, court, and other meetings with necessary documents for an average of 10 meetings/hearings per week • Track and enter all time worked daily; bill in compliance with ethical standards reflected in Firm policies and procedures Qualifications: • High school diploma • Some post secondary education • At least three years' related experience supporting attorneys • Current Notary Public license is required (or ability to obtain one) Compensation: $17 hourly
