    Job Description

    Pharmaceutical Care Management Association (PCMA) – the national association representing America’s pharmacy benefit managers – is seeking an EXECUTIVE ASSISTANT responsible for providing organizational support to the State Affairs team. This position will report to the Vice President, Human Resources and Administration.

    STATE AFFAIRS RESPONSIBILITIES

    · Plans and executes the in-person State Health Advocacy Committee (SHAC) meeting in coordination with the state affairs team.

    · Manages and executes the bi-annual virtual SHAC meeting in coordination with the state affairs team.

    · Manages distribution of the weekly SHAC updates.

    · Fields general requests from members for state affairs advocacy materials and state affairs distribution lists and directs all other requests to appropriate state affairs team members.

    · Maintains calendars, schedules meetings, and coordinates state-specific Zoom or conference calls for state affairs team members.

    · Tracks intergovernmental calendars, schedule of events, and coordinates state affairs staff assignments to these events.

    · Collects and maintains files on state counsel contracts, intergovernmental memberships, and coalition logistics.

    · Manages the relationship with Fiscal Note or other bill tracking service.

    · Monitors, tracks, and reports attendance of key state legislators at intergovernmental events in order to identify opportunities for state affairs staff interactions at meetings and conferences.

    · Responsible for data collection of all state affairs staff lobbying activity by using Fiscal Note to enter meetings with legislators, comment letters, and testimonies on specific legislative bills in all 50 states.

    · Collects data to track state calls and membership involvement.

    · Creates data reports of all intergovernmental, legislative, and membership activity that is used to develop quarterly dashboard summaries.

    · Works with Senior Manager to organize the state affairs filing system on the internal shared drive.

    OFFICE ADMINISTRATION RESPONSIBILITIES

    · Assist with general office administrative duties including ordering food, kitchen and office supplies as well as coordination of meeting logistics for various in-house events.

    · Other duties as assigned.

    QUALIFICATIONS:

    · Bachelor’s degree preferred.

    · Prior administrative experience required.

    · Strong organizational and time management skills.

    · Attention to detail.

    · Strong proofreading and editing skills.

    · Excellent interpersonal skills.

    · Basic computer skills.

    · Proficiency in Microsoft Office applications.
