Job Description
We are seeking an Administrative Assistant to join our team! You will perform clerical and administrative functions in order to drive company success.
RESPONSIBILITIES:
- Answering Phones
- Scheduling Estimates and Jobs
- Scheduling appointments for Partners
- Filing Forms with NYC and NYS Agencies
- Assist Office Manager with day-to-day office duties
- Heavy email correspondence
- Printing/ Scanning
- Coordinating with architects, engineers, subcontractors, vendors, and clients to ensure that all parties are informed of project status
- Managing employee records and benefits for the company’s construction workforce
- Reviewing contracts to ensure compliance with federal regulations, company policies, and industry standards, and then
preparing contracts for signature
- Must have strong computer skills
- Insurance Certificates
- Heavy follow up - Must Be Organized
QUALIFICATIONS:
-Must be reliable and on time
-Prior Office experience preferred
-Must have own transportation
-Strong attention to detail
-Proficiency in Word and Excel a must
-Some experience with QuickBooks
-Personable
-Well spoken
-Excellent written and verbal communication skills
2+ years' experience preferred
Previous Construction experience preferred
Bi-lingual is a plus
