Job Description
SUMMARY:
The Outreach and Field Trip Coordinator will work under the supervision of the Director of Educational Programs and will coordinate programs focused on serving audiences both on and off site by matching customers to programmatic revenue streams. Examples include (but are not limited to): scouting partnerships, connections with community organizations, and assisting with the development of new programs to meet customer needs. Additionally, the Outreach and Field Trip Coordinator will take a leadership role in the coordination and implementation strategy for reservations for outreach, field trips, and other educational programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Adhere to the established policies and procedures of the Museum.
- Aid with the development and implementation of a strategy to maximize reservations for outreach, field trips, and other educational programs.
- Work with the Director of Educational Programs to establish and grow relationships with community partners to match their missions to programmatic revenue streams.
- Work towards defined revenue goals for outreach, field trips, and other educational programs.
- Communicate with teachers, group leaders and individuals by phone and email to answer all questions and suggest appropriate programs.
- Work with the Director of Educational programs to maintain and track accurate and current financial and attendance reports regarding group arrivals, event/class/camp registrations and confirmation of program outcomes.
- Administer enrollment of individual patrons in assorted educational programs and administrative duties assigned including sending invoices, payment reminders and receipts as needed.
- Administer invoice and post payments for scheduled reservations/registrations including schools and special groups.
- Teach and assist educational programs as needed, including outreach, special events, camps, and virtual field trips.
- Confirm group reservation logistics including schedule and greeting groups the day of arrival while making sure to communicate confirmed information with appropriate education team member and other departments as needed.
- Ensure supplies are ordered, properly organized, and on-hand for program delivery.
- Maintains excellent customer service by maintaining a positive and friendly attitude and through guest interactions by answering questions related to exhibit content, show times, directions, and other general information.
- Perform other duties as assigned.
EDUCATION AND/OR EXPERIENCE
- Bachelor’s degree in Education, Business, Marketing, or another science related field.
- At least 1 year in educational program development and delivery in an informal education setting.
- At least 1 year of experience in sales, customer service and/or marketing revenue generating programs/products.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability to assist with the development educational programs with an emphasis on learning through active, inquiry-based exploration.
- Ability to think independently and implement plans to meet revenue goals.
- Experience working with children, youth and families of diverse backgrounds and income levels.
- Comfort working within unfamiliar environments; ability to initiate connection and build new relationships with stakeholders.
- Knowledge of the communities of Miami-Dade, Monroe, and Broward and the diverse audiences within these communities.
- Ability to present oneself as an ambassador for Frost Science.
- Attention to detail and ability to manage multiple competing priorities simultaneously.
- Able to work both collaboratively across departments as well as independently to achieve programmatic benchmarks.
- Able to demonstrate excellent verbal and written communication skills as well as interpersonal skills, with the ability to effectively share information across and between multiple disciplines and reach audiences with varied technical and organizational knowledge.
- Bilingual is preferred.

WORK ENVIRONMENT
The work environment characteristics described here are representative of those as employee encounters while performing the essential functions of this job. Work will include time within an open office area, on the floor leading and participating in programs, and within the local community. Occasional exposure to outdoor activities may be requested. Weekend and evening work in alignment with programs is sometimes required.
CLEARANCE REQUIREMENTS:
- Level 2 background clearance as defined by Miami-Dade County Public Schools.
- Drug screening as part of the Drug Free Workplace Program.
