Job Title: Accounting Associate

Reports To: Accounting Manager/Controller
Summary: The Accounting Associate assists the Accounting Manager with bookkeeping, account management and clerical duties.
The role involves extensive e-mail and telephone communications with the Company’s customers, experts, and staff. The Accounting Associate is responsible for providing complex administrative support to physicians and non-physician experts. They are responsible for a high volume of invoicing, collections, and account reconciliation.
Accounting Associates must possess excellent organizational and problem-solving skills, and a strong customer-centric attitude.
Accounting Associates are self-motivated and able to work independently and without excess direction or supervision. Accounting Associates must also possess advanced knowledge of QuickBooks (or similar software), and a strong attention to detail. Accounting Associates are deadline-driven and possess the ability to work confidently and effectively within a high volume, fast-paced environment.
Essential Duties:
Maintain a full understanding of the Company’s retention agreements, processes and procedures
Process a high volume of invoicing
Process and prepare deposits in accordance with GAAP
Perform accounts payable functions
Maintain the accuracy and timeliness of data entered in the Company’s General Ledger
Reconcile accounts receivables to ensure that payments are accounted for and properly posted
Verify discrepancies and resolve client billing issues in a customer centric manner
Regularly perform follow-up with past due accounts
Produce financial reporting on a monthly, quarterly and annual basis
Other duties that may be assigned as needed
Requisite Qualifications
Bachelor’s Degree in business or related field
Two or more years’ experience in Accounts Receivable
Minimum 15 years’ experience working in Accounting, Finance or General Administration
Experience consolidating and reconciling accounts for year-end tax preparation
Professional writing skills, i.e. ability to draft professional e-mail communications
Customer service experience
Strong attention to detail
Strong ability to multitask on a continuous basis
Strong organizational and time management skills
Proven problem-solving skills
More than five years’ QuickBooks experience, or experience working with a similar software
Intermediate – advanced Microsoft Excel skills
Intermediate to advanced 10-key proficiency
Type a minimum of 50+ WPM (Typing test required)
Non-requisite/Preferred Qualification
Familiarity with journal entries.
Understanding and ability to read primary financial statements, i.e. balance sheets, income statements, and statements of Cash Flows
Experience working with sales tax and franchise tax issues
Experience with 1099s
Working knowledge of the processes and procedures associated with end-of-month/quarterly reconciliation and closing
Work Schedule
5 day/40-hour work week: Mon - Fri 8:30am - 5:30pm
Overtime may be required as needed in accordance with end-of-month, end-of-quarter and end-of year-processes
