Accounting Associate
Purpose of Job
The Accounting Associate role assists the Accounting Manager with bookkeeping, clerical duties, and account management.
This role involves extensive e-mail and telephone communications with the Company’s customers, experts, and staff. The Accounting Associate is responsible for providing complex administrative support to physicians and non-physician experts. They are responsible for processing a high volume of invoicing, reconciliation and/or collections.
This individual must possess excellent organizational and problem-solving skills, with a strong customer-centric attitude.
The Accounting Associate must also be self-motivated and able to work independently and without excess direction or supervision. He/she must also possess advanced knowledge of Quick Books (or similar software) with strong attention to detail. This individual will need to be deadline-driven and possess the ability to work confidently within a high volume, fast paced environment.
Job Requirements
Maintain a full understanding of the Company’s retention agreements, processes and procedures
Input and submit a high volume of invoicing
Process and prepare deposits in accordance with GAAP
Create and setup vendor bills for timely payment
Maintain the accuracy and timeliness of all data entered in the Company’s General Ledger
Reconcile accounts receivable to ensure that payments are accounted for and properly posted
Verify discrepancies and resolve client billing issues utilizing customer-centric problem solving
Regularly perform follow-up with past due accounts
Produce financial reporting on a monthly, quarterly and annual basis
Other duties may be assigned as needed
Minimum Requirements
Bachelor’s Degree in Business or related field
2 years’ experience in Accounts Receivable
> 5 years’ experience working in Accounting, Finance or Administration
Experience in completing end of year taxes
Experience in customer service
Construct professional e-mail communication
Detail-oriented and have a strong ability to multitask on a continuous basis
Manage time effectively
Proven problem-solving skills
Intermediate to advanced 10-Key skills
5 years’ QuickBooks or experience working with a similar software
Able to create and edit Microsoft Excel spreadsheets
Type a minimum of 50 WPM (Typing test required)
Preferred Requirements
Familiarity with journal entries.
Knowledgeable in working with income statement and balance sheet
Experience handling sales tax and franchise tax
Experience with 1099
Working knowledge of the processes and procedures associated with end of month closing/quarterly closing
Work Schedule
5 day/40-hour work week, Mon - Fri 8:30am - 5:30pm
Overtime may be required as needed in accordance with end of month, end of quarter and end of year processes
