Job Summary: Accounts Payable Associate assists the CFO and Controller with accounts payable functions such as daily bookkeeping, record keeping, and the preparation of tax records for financial audits.
The role involves extensive e-mail and telephone communications with the Company’s customers, experts, and staff. The Accounts Payable Accounting Associate is responsible for providing administrative support to physicians and non-physician experts. They are responsible for a high volume of invoicing, knowing how to pay bills, print checks, ACH payments, wire payments and account reconciliation.
Accounts Payable Associates must possess excellent organizational and problem-solving skills, understand the importance of confidentiality, and acquire a strong customer-centric attitude.
Accounting Associates are self-motivated and able to work independently and without excess direction or supervision. They must also possess advanced knowledge of QuickBooks (or similar software), proficient in 10-key and possess a strong attention to detail. Accounts Payable Accounting Associates are deadline-driven and can work confidently and effectively within a high volume, fast-paced environment.
Essential Job Functions
· Maintain a full understanding of the Company’s retention agreements, processes, and procedures.
· Perform accounts payable functions.
· Process a high volume of invoicing.
· Execute credit card and bank account reconciliations.
· Preparing and mapping 1099s.
· Knowledge of tax preparations.
· Experience with payroll.
· Maintain the accuracy and timeliness of data entered in the Company’s General Ledger.
· Reconcile accounts payables to ensure that payments are accounted for and properly posted.
· Other duties that may be assigned as needed.
Knowledge and Abilities Requirements
· Intermediate – advanced Microsoft Excel skills.
· Working knowledge of Adobe Acrobat.
· Intermediate to advanced 10-key proficiency.
· Type a minimum of 50+ WPM.
· Experience consolidating and reconciling accounts for year-end tax preparation.
· Professional writing skills, i.e. ability to draft professional e-mail communications.
· Customer service experience.
· Strong attention to detail.
· Strong ability to multitask on a continuous basis.
· Strong organizational and time management skills.
· Proven problem-solving skills.
Preferred Qualifications
· Familiarity with journal entries.
· Understanding and ability to read primary financial statements, i.e. balance sheets, income statements, and statements of Cash Flows.
· Experience working with sales tax and franchise tax issues.
· Working knowledge of the processes and procedures associated with end-of-month/quarterly reconciliation and closing.
Education and Experience
· Bachelor’s Degree in Accounting or related field.
· Two or more years’ experience in Accounts Payable.
· Minimum 10 years’ experience working in Accounting, Finance or General Administration.
· More than seven years’ QuickBooks experience, or experience working with a similar software.
Work Schedule
· 5 day/40-hour work week: Mon - Fri 8:30 am - 5:30 pm.
· Overtime may be required as needed in accordance with end-of-month, end-of-quarter and end-of year-processes.
