    POSITION SUMMARY

    Develop and implement programs, projects and activities designed to increase and retain membership at the club. Has responsibility for the pricing, selling, booking, planning and coordination of membership sales and events for the Country Club. Works with the Executive Chef and other managers of the Club to ensure events are efficiently planned and carried out to the satisfaction of the membership. Oversees the set-up, decorations, menu and all other aspects of all the member events. Present at member events to take advantage of marketing opportunities, represent the Griffin Family and the Country Club to ensure presentations reflect favorably upon their names.

    GENERAL QUALIFICATIONS

    Knowledge Requirements

    Minimum Education/Certification:

    High School graduate or equivalent is required. An associates degree or undergraduate college degree in marketing, event planning or another related field is desired.

    Required Knowledge:

    Must have knowledge of standard practices and procedures related to a country club and protocol for coordinating various types of member events for the membership and guests of the club. Must know how to provide quality customer service and aggressive in the sales process.

    Preferred Knowledge:

    Ability to establish and maintain effective relationships with supervisory/ administrative staff, employee’s, members and guests. Direct and oversee the activities of the membership Department and control its budget.

    Experience Requirements

    Required Experience:

    A minimum of two year’s previous sales/ event planning or related experience is required. More importantly is previous experience in a function where organizational skills and detail-orientation skills were required and exhibited.

    Preferred Experience:

    Previous experience in a country club, hotel or marketing position would be helpful. Experience in sales would be a large asset.

    Skills Requirements

    Required Skills:

    Strong organizational skills are required. Must have an outgoing personality and the ability to provide quality customer service to Club members, guests and potential members. Must be creative and detail-oriented and have the ability to manage and carry out the details of events. Should be customer-oriented and sales focused. Strong communications skills are required. Must have Microsoft Word and Excel skills. The ability to attend all member events, which can include evenings, weekends, and holidays, is essential.

    Preferred Skills:

    The ability to work with Meeting Matrix Software would be helpful.

    Physical Demands/Work Environment Requirements

    Must have vision, hearing and speech capabilities. The ability to function with various movements requiring the use of the entire body is essential. May be required to exert up to twenty-five pounds of force occasionally or lift heavy objects. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled. Must have the ability to climb ladders and manipulate decorations in preparation for events. Must be able to stand for long periods of time.

    Mental Demands

    Learning, thinking, concentration and the ability to work under pressure, particularly during busy times or for special events. Must be flexible to work in an ever-changing environment. Must be able to pay close attention to detail and be able to work as a member of a team to ensure excellent customer service for all club members and guests. Must have the ability to interact effectively with customers and co-workers and exercise self-control and diplomacy in customer and employee relations’ situations. Must have the ability to exercise discretion as well as appropriate judgments when necessary.

    ESSENTIAL FUNCTIONS and BASIC DUTIES

    Maintains the club’s database (membership register) of members’ files.

    Develops and ensures that established procedures for processing prospective members’ applications are consistently followed.

    Plans and implements strategies to meet club membership goals.

    Assists prospective members in fulfilling application requirements.

    Maintain adequate supply of membership supplies; folders, brochures, applications and membership packets.

    Conduct tours for prospective members and orientation program for new members.

    Promotes club activities using table tents, newsletters, direct mail, e-blasts, notices on club website and other means.

    Coordinates with GM and other department heads the updating of club’s master calendar.

    Execute and attend perspective member and current member functions.

    Calls and requests active members to make personal referrals and to assist with recruitment efforts.

    Determines markets to be canvassed for qualified potential members, completes and maintains perpetual invitee roster.

    Assesses the need for and makes recommendations regarding membership classifications to ensure that the needs of ever-changing market are met.

    Serves on applicable club committees to assure members’ interests are consistently addressed.

    Follow-up on telemarketing efforts, member referrals, leads from staff, catering contracts, newspaper articles, lists, publications, etc.

    Researches the need for ongoing sales promotions regarding demographics, market segmentation data, etc.

    Track the success and overall performance of all membership activities.

    Coordinates development of social activities and social calendar for the club.

    Develop and maintain prospect/ lead list, pipeline management and maintain a file of club history.

    Attends Tuesday management staff meetings.

    Effectively responds to member comments in accordance with club standards, policies and rules; uses ides feedback and suggestions to continuously improve the services provided to members.

    Develops and adheres to a departmental budget; after approval, monitors and takes corrective action as necessary to help assure that budget goals are met.

    Reports new members to the Controller to initiate proper administration of their memberships; ensures that applications are completely and properly filled out, that initiation fees are collected and that new members understand the privileges and costs of membership.

    Maintains clubs informational and bulletin boards.

    Serves as a manager on duty.

    Works with Food and Beverage Manager as needed to coordinate special member events.

    Survey other clubs for information useful in setting and revising club memberships.

    Along with General Manager handle communication with dissatisfied members.

    Complete other appropriate assignments made by the General Manager.

    Understands and upholds the Griffin Brother Companies mission statement.

    ADDITIONAL RESPONSIBILITIES

    Adheres specifically to all corporate policies and procedures and applicable laws. Maintains highest level of grooming, hygiene, and acceptable uniform appearance (including name tag worn at all times on Company premises). Dress is Business Professional, no Business Casual except when assisting with event set up.

    Stays abreast of the Company’s products and services.

    Exhibit an excellent work ethic, time management and organizational skills to balance multiple projects.

    Performs other related duties to meet the ongoing needs of the organization.
