    Job Description

    The Ward Law Group is seeking an experienced Reductions Specialist to join our team.

    This position is responsible for managing the reductions process from assignment through case resolution. The ideal candidate is highly organized, client-focused, detail-oriented, and experienced in negotiating medical bills, provider balances, and liens to maximize client recoveries.

    This role requires strong communication skills, the ability to manage a high-volume caseload, and a commitment to delivering exceptional client service while meeting productivity goals.

    What You'll Do

    Client Communication & Case Management

    • Conduct courtesy calls with clients upon case assignment.
    • Educate clients regarding the reductions process and set expectations.
    • Maintain regular communication with clients throughout the life of the file.
    • Respond to client questions and provide updates at least every two weeks.
    • Schedule in-house appointments when necessary.
    • Deliver exceptional client service while managing a high-volume caseload.

    Medical Bill & Provider Management

    • Confirm PIP benefits and verify damages.
    • Maintain accurate and complete provider lists.
    • Confirm balances due with medical providers and healthcare facilities.
    • Review files to identify missing providers, balances, or treatment records.
    • Screen files for discharge and closure readiness.

    Negotiation & Reductions

    • Negotiate medical bills and provider balances to maximize client recoveries.
    • Communicate directly with hospitals, healthcare providers, and collection entities.
    • Send reductions requests promptly and follow up regularly.
    • Track negotiation status and ensure timely resolution of outstanding balances.

    Documentation & Compliance

    • Accurately document all phone calls, case activity, negotiations, and correspondence.
    • Upload and maintain releases and supporting documentation in Litify.
    • Ensure all case documentation is complete, accurate, and organized.
    • Maintain compliance with firm policies and procedures.

    Closing & Reporting

    • Prepare and review closing statements.
    • Assist with obtaining Google reviews and client testimonials.
    • Conduct personal audits and case reviews to ensure productivity and quality standards.
    • Develop, maintain, and monitor weekly projection and productivity reports.
    • Track file progression to ensure timely completion of reductions activities.
  • Qualifications

    Required Qualifications

    • Minimum 2 years of experience in personal injury reductions, liens, or medical bill negotiations.
    • Experience negotiating directly with hospitals, medical providers, and collection entities.
    • Experience working in a plaintiff personal injury law firm.
    • Experience reviewing provider balances, treatment records, and medical bills.
    • Experience preparing closing statements and supporting documentation.
    • Strong client communication and customer service skills.
    • Ability to manage a high-volume caseload while meeting deadlines.
    • Strong organizational skills and attention to detail.
    • Experience using case management systems and document management software.
    • Ability to work independently while collaborating with team members.
    • Proficiency with Microsoft Office and legal case management systems.
    • Experience using Litify and Salesforce.
    • Experience handling hospital reductions and complex provider negotiations.
    • Experience with PIP verification and personal injury settlement processes.
    • Bilingual English/Spanish communication skills.
