    As our Technology Operations Analyst/Administrator, you will be responsible for ensuring the various administrative and financial aspects of the technology organization are well-defined and well-executed. In this role you will work closely with the technology executive team to establish the proper controls and routines across the department and will handle the day to day administrative and operational deliverables. Your responsibilities will vary but will largely be focused on departmental operations, vendor operations, and financial operations. Specific goals include establishing departmental routines to drive efficiencies and ensuring compliance, enhancing the vendor management processes to improve scoping and expand tracking of third-party work, and to oversee the financial controls and routines within the department to ensure visibility to all technology spend.

    In addition, you will be responsible for keeping the department in control through new routines, process, documentation, and frameworks and for reporting status to the technology management team on a regular basis. The successful candidate will have experience in similar roles and will be an excellent communicator, very well organized and methodical, and able to work independently yet easily takes direction from leadership and accomplishes tasks as assigned.

    In this role you will:

    Provide thought leadership and disciplined execution of the administrative and financial operations of the technology department

    Establish standardized, best practice technology vendor management routines and disciplines, including

    Work closely with the technology management team on statements of work to ensure they are consistent and complete across all engagements

    Facilitate and oversee the conversion of statements of work into purchase orders for new and recurring technology spend

    Secure and process new vendor documentation such as NDAs, new vendor forms, and W-9s

    Implement new cost and resource tracking mechanisms with key vendors and service providers

    Establish routines and provide oversight throughout the department to improve processes, drive efficiencies, and ensure compliance

    Obtain/consolidate SOX documentation and evidence as assigned

    Coordinate the publication of quarterly release notes across all technology programs to drive standardization and ensure accuracy, timeliness, and completeness

    Create departmental reporting and establish a schedule of activities that will be used to manage risks, budgets, and dependencies across the technical programs

    Manage the ongoing technical financial tracking and planning, including

    Act as the liaison to the Finance department working closely to ensure technology project tracking aligns to accounting requirements – look for ways to further improve and streamline the recurring processes

    On a monthly basis, process accrual reporting and internal labor tracking reporting

    Work closely with the technology management to draft technical memos and documentation that supports the financial accounting processes

    Manage the annual department budget and forecasts, aligning the technology roadmap with projected spend

    Process invoices with Accounts Payable after securing approvals and applying against approved, coded, purchase orders

    About You:

    Bachelor’s degree, or equivalent work experience

    3+ years of experience working in a similar administrative and financial role

    Possesses a solid understanding of enterprise technology concepts, systems, processes, and organizational models

    Experience with performing a range of functions including process definition, technical documentation, reporting, budgeting, vendor management, and process improvement

    Demonstrated knowledge and experience in contract compliance, purchasing, and supply chain strong preferred

    Proven experience in managing program budgets with a solid IT financial accounting understanding and application to software development and enterprise technologies

    Conversant in technology and accounting with the ability to identify and apply the right frameworks to planning, measuring, and managing technology spend

    Broad expertise with the effective application of business software (Microsoft Office, Word, Excel, PowerPoint), Outlook email and online calendar systems, web browsers, and internet applications

    Experience with IT productivity tools such as Confluence, Jira, Slack, and Smartsheet

    Excellent organizational, communication, and presentation skills

    Adaptable with a focus on disciplined execution to ensure quality of deliverables, adherence to standards and continuous improvement of people, process, and tools

    Comfortable indirectly leading and influencing resources, as well as directly owning tasks and troubleshooting issues

    Ability to work collaboratively and independently and can easily take direction and priorities as assigned

    Experience working in a franchisor/franchisee company environment a plus
