ONBOARDING AND TALENT PARTNER
The Onboarding and Talent Partner leads the Pre-Boarding, New Hire Orientation, and Onboarding Program and serves as a primary Ambassador for PPIL. This position facilitates a professional, people-centric, and seamless onboarding experience for new hires to support the socialization of new hires into PPIL.
This position is accountable for communicating onboarding procedures, mandatory trainings, essential organizational details to new hires, and keeping hiring managers informed throughout the pre-boarding and onboarding phases. The Onboarding and Talent Partner also works with the Agency’s management team to develop strategies to effectively onboard a diverse workforce in a culture of inclusivity.
This position serves as a back-up to Talent and Retention Partner performing essential recruitment functions. The Onboarding and Talent Partner reports to the Talent and Retention Manager.
ESSENTIAL FUNCTIONS:
Facilitate New Hire Orientation (NEO) in-person and remote, including but not limited to, employee set-up, prepare and update orientation materials, coordinate speakers, monitor speaker’s presentations, coordinate event space. Collaborate with Talent and Retention Manager on all agenda items and changes to NEO program and materials.
Distribute new hire documents to new hires and conduct audits to ensure successful completion of all onboarding documents prior to orientation.
Coordinate the collection and processing of completed paperwork and other required materials for new employee files.
Perform onboarding activities for new hires entailing scheduling of mandatory organizational trainings and dissemination of regular communication to new hires and management. Monitor and audit training compliance as required for the agency’s continued accreditation.
Assist Talent team and hiring managers with questions or issues ensuring timely solutions relating to pre-boarding and onboarding of new hires.
Coordinate and support recruitment functions by collaborating with the Talent team to manage job requisitions, draft prescreening questions, facilitate external job postings, source through various niche job boards/channels and social media, and engage in direct candidate networking.
7. Partner with the Talent team to ensure the recruitment processes (resume screening, scheduling interviews, interviewing, hiring, pre-boarding, onboarding) are people centric.
Conduct phone screens for non-clinical and administrative positions as requested.
Research, coordinate, and participate in virtual and on-site job fairs and recruiting events to support talent pipeline strategy, as well as maintain calendar of recruitment and retention events.
Research and support the expansion of relationships with colleges, universities, professional associations, and other external recruiting partnerships.
Serve as back-up for Talent and Retention Partners to provide training to hiring managers on ATS.
Support the development of talent pipeline strategy and provide continuous recommendations for sourcing innovation and process efficiencies.
OTHER RESPONSIBILITIES
Assist with hiring processes to ensure effective requisition management and appropriate disposition of candidates in the ATS to align with compliance regulations and OFCCP guidelines.
Assist the Talent team with collecting, analyzing, and summarizing a variety of data and trends of weekly, monthly, quarterly, and yearly reports utilizing ATS and HRIS.
Ensure candidate survey data is coordinated and reported to Manager of Talent and Retention at the beginning of the month.
Support the Talent team by tracking and scheduling new hires for stay interviews at 30, 60, and 90 days.
Support the Talent team with the off-boarding process by coordinating and conducting exit interviews and assist with the compilation and reporting of exit data.
Perform other duties as assigned and collaborate on projects across HR, DEI, & OD functions.

SUPERVISOR: Talent and Retention Manager
STATUS: Full time, exempt from the overtime provisions of the wage and salary administration policies.
QUALIFICATIONS:
EDUCATION: High School Diploma or equivalent required. Bachelor’s degree or equivalent in human resources, marketing, communications, or relevant field preferred. Visio software knowledge is preferred. Spanish and PHR certification are pluses.
EXPERIENCE: 2 years of experience in a traditional or remote onboarding role or a similar Talent role. 2 years of advanced experience with MS Office, especially PowerPoint and Excel. 2 years of experience with Applicant Tracking Systems (ATS), Human Resources Information Systems (HRIS), and familiarity with other relevant human resources software. Prior project management experience preferred.
