    Job Description Summary The Assistant Property Manager/Bookkeeper is responsible for tenant relationships, and general office administration including assisting in the overall operation of the properties and the day-to-day implementation of policies, procedures, and programs. The Assistant Property Manager/Bookkeeper will be responsible for processing property-related billings and rent/payment collections. ESSENTIAL DUTIES AND RESPONSIBILITIES: • Complete all property accounting processes (i.e. rental charges, invoicing, reconciliation's, tenant billing and invoicing processing) • Collects monthly rent payments, contacts delinquent tenants such as 3-day notices and Default Notices with regard to company rules & regulations • Completes monthly reports as required • Complete Tenant Welcome Packages, Rental Commencement Letters and Tenant Space turnover • Manage existing tenant relationships and maintenance requests by building positive relationships with tenants via in person, phone and email. • Coordinates tenant move-ins and move-outs • Assists with implementation of preventative maintenance programs Maintain emergency notification list from tenants and vendors • Answer incoming calls • Open, date stamp, distribute daily mail • Maintain inventory lists • Assists in contract management, information gathering and data input • Assists in the preparation of new projects gathering information for operating and start-up budgets • Responsible for maintenance of: o Emergency contact lists (tenant, vendor & staff) o Tenant & Vendor Insurance Reports o Tenant Occupational License • Review for accuracy: o Lease Abstracts o Lease Commission invoices / matches agreement o Verify completeness of property files and property binders • Maintains good relations with: o Tenants o Vendors o Brokers • Work with office members to achieve objectives • Track vendor contracts and pay applications • Maintain vendors insurance current and consistent with contract requirements • Maintain vendor information • contract start date • certificate of insurance information • send W-9 to vendor for completion • File W-9 in binder and vendor file • Set up and maintain vendor files • Handle tenant complaints • Maintain key system logs • Code payables and input for manager’s approval • Set up and maintain lease and property files • Maintain tenant insurance current and consistent with lease requirements • Send and file tenant rent statements monthly • Respond to tenant & vendor inquiries • Other duties may be assigned which are consistent with the position. EDUCATION and EXPERIENCE: • High school diploma required, Associates Degree or better preferred • Minimum 3 years’ experience in property accounting o Must have PM accounting software experience • Excellent verbal and written communication skills • Outstanding customer service • Negotiation skills • Ability to overcome objections and create a sense of urgency • Strong organizational skills with exceptional focus on detail • Proactive individual who works independently. • Proficiency in property management software and Microsoft Office (word, excel, etc.) JOB TYPE: • Full-time SCHEDULE: • Monday to Friday WORK LOCATION: • In person BENEFITS: • Health insurance • Paid time off • Professional development
