    Job Description

    ADMINISTRATIVE SPECIALIST

    Pollard Banknote, a leading lottery partner to more than 60 lotteries worldwide, is looking for someone with excellent administrative skills to support the Quality and Safety programs at our manufacturing plant in Ypsilanti, MI.

    This position is responsible for ordering and distributing personal protective equipment for all staff, ensuring that proper first aid supplies are available in the event of an accident, conducting accident investigations, and processing of Workers’ Compensation claims. They will also monitor the Action Request database, maintain and update MSDS information, upload forms and procedures, complete internal audits on department processes and procedures and assist external auditors conducting scheduled audits. This role is also responsible for facilitating monthly Safety Committee meetings, organizing Safety Week activities, assisting as a backup for the Emergency Preparedness and Response Plan, and providing remote coverage for the Canadian office, if needed.

    DUTIES AND RESPONSIBILITIES:

    • Assist with incident reporting and investigations
    • Work closely with departmental leadership to ensure all safety training and scheduling is kept up to date
    • Process workers' compensation claims
    • Provide safety committee meeting minutes and co-chair the meetings as an active committee member
    • Perform monthly safety inspections and gather inspections from others who do them
    • Lead monthly procedure reviews; from notification through record retention
    • Lead new staff through orientation of health, safety and management systems
    • Assist with external audits as needed. As well as performing internal audits
    • Assist in the administration of Action Requests
    • Work with external agencies regarding safety, training or onsite visits
    • Manage contractor vetting documentation and retention
    • Lead annual NAOSH celebrations
    • Coordinate evacuation drills
    • Safety Data Sheet review and uploading to our database

    QUALIFICATIONS:

    • Proficiency with Microsoft Office
    • Ability to work both with management and staff in a respectful manner is essential
    • Excellent people skills and the proven ability to communicate well verbally and in writing
    • Detail-oriented and strong desire to learn
    • Safety-minded with a focus on accident prevention
    • Demonstrated ability organize and determine priorities in a fast-paced environment
    • Problem-solver with ability to generate workable solutions, troubleshoot issues and resolve complaints
    • Must be reliable and responsible to work independently and be self-motivated to complete tasks without direct supervision

    WOULD BE CONSIDERED ASSETS:

    • Prior working knowledge of ISO 9001, 14001 and 45001 would be an asset

    • Familiarity with MIOSHA requirements

    • Prior experience managing injury claims is ideal
