POSITION DESCRIPTION:
We are looking for an energetic, personable, extroverted professional that specializes in building relationships. PVPS is looking to expand our community relations efforts as well as increase our event presence for current and future clients. The Liaison will be responsible for sourcing, creating, planning, management and execution of all special events, community volunteer opportunities for our team as well as all community relationships.
Will be expected to develop and implement successful strategies for increasing revenue and event participation. The ideal candidate will exhibit confidentiality, flexibility and accountability in all aspects of the role. The Liaison will be expected to manage and attend all events (internal and external) as well as volunteer opportunities, including evenings and/or weekends.
RESPONSIBILITIES:
· We are in need of the Liaison to source new opportunities for PVPS within our community (Ex: sponsorship opportunities, volunteer opportunities for our staff, synergies or partnerships with area businesses, supporting local non-profits, etc.)
· We are also wanting to grow our internal events for clients as well as our PVPS family, the liaison will be directly responsible for crafting creative ways to execute
· Plan, manage and execute special events to ensure event goals are met for PVPS
· Ability to represent PVPS at select public speaking engagements (liaison to our providers)
· Comfortable reaching out to area Non-Profits and asking how we can partner/support their efforts in our community
· Recruit and coordinate volunteers / speakers for events (internal and external)
· Responsible for all event agreements and the terms we are required to adhere to within said agreement.
· Maintain /Organize all records volunteer responsibilities/duties, sponsorships, internal and external events.
· Identify and develop new relationship opportunities for us within the community (Ex: Ronald McDonald House)
· The Liaison will also be responsible for assisting our Business Development Director in external outreach to our referring providers. Maintaining and nurturing existing relations as well as fostering new opportunities for our referral program under the direction of the Business Development Director
· The Liaison will need to be extremely detailed oriented and a strong planner, we try to avoid last minute fire drills at PVPS, planning and preparedness is key
· Develop action plans and timelines for events, volunteer opportunities, sponsorships, parties, etc.
· Work closely with the marketing team to maximize events through collateral and promotional takeaways
Leads post-event evaluation, identify challenges, areas for improvement and successes and report to leadership for future decision needs. Proper tracking and budget planning will be expected from leadership for future budget projections needs
QUALIFICATIONS:
Education/Experience:
Bachelor’s degree preferred. Two years event planning or business development experience preferred with an emphasis on community relations.
Knowledge, skills and abilities:
· Possess a demonstrated understanding of typical office procedures, protocol and equipment. Able to use standard office software (Ex: Microsoft Word, Excel. PowerPoint and Outlook with a high level of proficiency)
· Excellent command of the English language including usage, grammar, spelling and punctuation
· Skilled at responsible administrative work requiring independent judgment with speed and accuracy, excellent organizational skills, ability to perform more than one task at a time, the learning, interpreting and application of organizational policies, rules and regulations, taking dictation/minutes and transcribing accurately, the ability to work under pressure and timelines, interpersonal skills, good communication skills, disseminating information accurately and efficiently. Being able to be two-steps ahead in planning and execution.
· Possess a demonstrated willingness to adapt to varying work load. Can adapt to heavy workloads periods, then fill in for others on other tasks as time is available and priorities change. Willing to pitch-in to help others when deadlines are tight or the workload is heavy (Ex: preparing for an event or special campaigns)
· Able to maintain professional and cordial working relationships with staff and volunteers. Positively represents PVPS in all interactions internally and externally, the “face” of PVPS, a Liaison for the brand
· The Liaison will be a team of one, however, they will be able to ask for internal staff assistance as needed for events, external volunteer requirements, etc.
· The Liaison will report to the head of the Marketing Dept.

· Will be expected to have a working vehicle to travel to events, sponsorships, volunteer and networking opportunities as well as to our 5 locations
· The position will require working beyond regular hours including early morning, late nights and weekends
· The position will require lifting of event materials and gear as well as being active on your feet for long periods of time to fulfill event needs (Ex: Nocatee Farmers Market Booth)
· This is an in-office position with travel within the Jacksonville area
