    The Office Assistant will play an important role in helping the organization achieve its mission by appropriately anticipating, scheduling, and performing the work that needs to be done to ensure that the office is operating effectively and efficiently.

    The ideal candidate will operate in an intelligent, thoughtful, flexible, patient and principled way, and will contribute to a positive company culture.

    This is a part-time non-exempt position located in Burlington, Massachusetts with a $17 to $20 hourly rate.  The position will work approximately 14 to 20 hours per week, usually over a 3-day period (specifics will be determined by supervisor).   

    DUTIES AND RESPONSIBILITIES

    • Anticipate office needs to ensure the organization is appropriately equipped to operate effectively and efficiently. This includes ensuring the correct paperwork and documentation is produced, records are stored and protected, equipment is procured, and additional information is gathered in cases where decisions need to be made
    • Provide office administration by welcoming and greeting visitors in a professional manner, maintaining a clean and organized operational space, managing office supplies and equipment, coordinating maintenance and deliveries, interacting with vendors, servicers, and contractors as assigned, ordering and arranging delivery or pick-up of food or other provisions for meetings, stocking the kitchen with supplies, organizing office events, and running errands/handling tasks as requested
    • Maintain the social media presence for the organization and key individuals
    • Compile and summarize relevant information that is necessary to make decisions
    • Provide a high level of administrative support to Populace teams and executives
    • Other duties as assigned

    QUALIFICATIONS

    This position requires the candidate to be exceptionally attentive to detail. The desired candidate must be responsible, self-driven, able to work with minimal oversight, and be able to manage time and priorities.

    Qualified candidates must be able to demonstrate the following skills:

    • Effectively and respectfully communicate with individuals in all levels of the organization  
    • Possess excellent written and verbal communication skills
    • Proficient in Microsoft Office Suites, Google platform, Apple products, and possess the desire and ability to learn new tools and technologies in an efficient manner
    • Expertise in managing various channels of social media
    • Ability to uphold strict levels of confidentiality, professionalism, and discretion
    • Valid Driver’s License
