    EMPLOYMENT STATUS: Part Time (Regular, Non-Exempt)

    EFFECTIVE DATE: March 2021

    TYPICAL SHIFTS REQUIRED: Monday - Friday 8:30 AM - 2:30 PM

    The Finance Department at Portland Rescue Mission (PRM) is a group of dedicated professionals using their administrative skills for life-changing Christian ministry.  Our goal is to participate in what God is doing in the lives of the men, women, and children we serve at PRM with integrity and excellence.  In doing this, we honor the high calling of serving those in need, knowing that excellent resource management and accountability create a sustainable environment in which our ministry can flourish.  The best candidate will have a heart for serving people in the name of Jesus and skills that support best practices within our infrastructure and gift-processing teams.

    GENERAL DESCRIPTION OF WORK

    This position is responsible for all aspects of accounts payable processing, including successfully maintaining the software, files, developing and analyzing reports as needed.  This position requires a strong ability to manage details and keep records. No prior experience is required. The A/P Specialist is responsible for completing credit applications and providing support to inquiries around billing made by vendors or staff.  The right candidate will have a true can-do attitude, a passion for providing excellent customer service, a proven ability to exercise a high degree of discretion and confidentiality, an eye for detail, and a heart for service.     ESSENTIAL OUTCOMES AND RESPONSIBILITIES

    • Vendors will feel honored by their confidential data being handled with accuracy, security and integrity by the A/P Specialist.
    • Staff inside and outside of the Finance department will experience a warm, customer service oriented tone and receive timely and accurate responses to their A/P related communication.
    • The Finance team will be strengthened to better serve staff and vendors as this role collaborates with the team daily, prioritizing support for A/P and other finance initiatives as needed.
    • PRM’s reputation will be maintained in good standing with the community due to invoices being paid accurately and on time, and any problems or discrepancies will be quickly resolved with clear and kind communication between PRM, vendors and outside agencies.

      

    MINISTERIAL DUTIES

    • Serve two hours per week in a direct ministry capacity at one of PRM’s locations, sharing the gospel and providing compassionate care to the people served in PRM programs.
    • Participate in PRM’s Christ-centered ministry culture through actively engaging in staff worship and devotional opportunities, including sharing on a rotating schedule.
    • Engage program participants with Christian care, including offering prayer and scripturally based encouragement during interactions.

    GENERAL FUNCTIONS

    • Work under the management and direction of the Accounting Manager and function as an active part of the Finance Department
    • Embrace the Portland Rescue Mission ministry culture of being a highly-relational, Christ-centered, joyful servant
    • Work alongside visa owners to assist with questions and train on completing the Excel spreadsheet
    • Create and maintain existing administrative systems for 1099’s, credit applications, vendor contracts as needed
    • Provide input as part of the Finance Department to improve overall performance of serving staff and vendors
    • Send visa statements to managers and create journal entries based on a monthly schedule
    • Run checks weekly and enter transactions into the bank Positive Pay system
    • Reviewing invoices to ensure they are accurate and coded to the proper General Ledger account

    • College degree in related field or experience equivalent

    • Experience in Mac and Microsoft Windows software
    • Ability to lift at least 50 lbs. unassisted
