    Job Summary

    As the Contracts Analyst, you will ensure the support departments adhere to the firm’s guidelines regarding contractual agreements. You will coordinate and oversee contracts, leases and the RFx process.

    Principal Duties and Responsibilities

    • Manages full contract life cycle, including drafting, reviewing and redlining contractual agreements. Escalates non-routine contract terms/conditions as necessary.
    • Advises firm personnel on appropriate legal terms and assist with negotiations as necessary.
    • Administers the contractor approval process, ensures all firm required background check processes have been met and provides associated reporting.
    • Follows established business standards related to contract negotiations, terms, and conditions.
    • Oversees/Manages the operation and maintenance of the firm’s contract management system for firm contracts, maintenance renewals, non-disclosure agreements, and similar documents. This includes tracking, updating and answering questions for all related documents.
    • Monitors and reports on contract activities to ensure that terms and conditions are met; specifically, renewals, end-of-term notifications, renewal procedures, etc.
    • Creates and incorporates contract amendments assisting in negotiations, if required, to accommodate scope changes or changes in organization requirements.
    • Manages full lease life-cycle.
    • Manages the development of requests for information / proposals/ quotations (RFx), evaluates vendor responses and qualifies and recommends finalist vendors. This includes assisting the firm in developing the requirements and scope of work, submitting the RFx to qualified vendors, receiving and consolidating responses, developing evaluation criteria and matrices, evaluating responses, and conducting vendor customer reference checks.
    • Provides recommendations for improvements to processes, procedures, and workflow for contract management.
    • Contributes to the firm's ServiceMatters initiative to consistently improve its image internally and externally. Displays professionalism, quality service and a "can do" attitude to internal members/departments of the firm as well as external clients and vendors via electronic and print correspondence, over the telephone and in-person.
    • Other duties as assigned.

     

    Required Skills

    Minimum Qualifications

    • Computer literacy in Microsoft Word and Excel.
    • Knowledge of procurement and vendor management practices and certifications.
    • Self-motivated, detail-oriented individual with strong written and oral communication skills.
    • Strong ability to communicate with users across all firm departments and organization levels to craft contracts, amendments and change requests that align complex needs with contractual requirements to achieve business outcomes.
    • Ability to understand contract risks and to work with other parts of the organization to develop tactics and strategies for risk mitigation.
    • Strong project and process management skills, with the ability to handle multiple and shifting priorities.
    • Strong relationship and communication skills to be applied in working with vendors across the entire contract lifecycle.
    • Knowledge of standard methodologies for contract negotiation tactics and strategies.
    • Ability to respond to requests with a heightened sense of urgency.
    • Flexible to work non-standard hours during times of peak workload.
    • Ability to work effectively under pressure and meet deadlines.

     

     

    Required Experience

     

    Education:

    • Bachelor’s degree, preferably in Business Administration.
    • Equivalent work experience may be considered in lieu of degree.

    EXPERIENCE:

    • Minimum five years’ experience negotiating and managing contract life cycles.
    • Experience working with legal and procurement staff on administrative detail.
