    We are currently seeking an EXPERIENCED NAVAIR Administrative Assistant to support our PAX River customer. Duties of the position include but are not limited to: 

     

    • Provides direct, operational support to the Program Manager (PM), Deputy Program Manager (DPM), Chief of Staff (CoS), and management/functional staff of a large Navy Program Office. Manages Program Manager and Deputy Program Manager Schedules including receiving executive level meeting invitations
    • Advises CoS on efficiency improvements regarding administrative and program operations in relation to travel, schedules, processes and events
    • Receives incoming visitors for PM, DPM, and PMA-231 personnel and works independently to facilitate
    • Receives executive level telephone calls and manages appropriately
    • Manages office documents such as Executive Leadership Team (ELT) calendar, phone list, distribution lists, recall list, seating charts, and welcome aboard information
    • Research and develop process improvement plans for administrative and operational tasks
    • Coordinates with PEO(T) staff regarding schedules, data call responses, etc.
    • Manages Program Office security watch schedule and ensure it is properly completed at the end of each day
    • Acts as the Training Coordinator for PMA-231
    • Compiles/analyzes/edits inputs from the Integrated Product Teams (IPT) to generate weekly reports for Program Management review before submission to AIR-00, PEO(T) and/or the PMA-
    • Analyzes and manages executive level correspondence, as well as conducts quality assurance reviews following the Department of the Navy (DoN) Correspondence Manual
    • Completes/manages the check-in/out processes for all new, on site employees (MIL, GOV, CSS)
    • Processes Military Fitness Reports (FITREP) using the NAVFIT system;
    • Assists in tracking PERSTEMPO reporting for Military personnel;
    • Office coordinator for complete processing of Military Awards;
    • Coordinates and schedules office events such as team building events, trainings, farewells, etc.
    • Works with Facilities on office maintenance and repairs as well as supply stocking;
    • Utilizes the NAVAIR National Help Desk for audio and visual teleconferences;
    • Procures all office supplies through IBSupply
    • Manages, coordinates, and evaluates for accuracy in accordance with the Joint Travel Regulations (JTR) international and domestic travel arrangements for both civilian and military personnel using Defense Travel System (DTS)
    • Schedules classified and unclassified visit requests/base access requests for personnel and visitors using BASICS II and Joint Personnel Adjudication System (JPAS)
    • Releases office Naval Messages using the Common Message Processor (CMP) System
    • Follows conference approval process for conference attendance
    • Provides all other office duties as necessary to support the Chief of Staff, other operations support personnel, and the whole program office team, including responding to frequent general 231 Office for official correspondence, and other program office products and processes inquiries and administrative issues.

     

    EDUCATION REQUIRED: Associates Degree desired. HS plus an additional two years of relevant experience can be substituted for the degree. 

     

    EXPERIENCE REQUIRED: Four years of administrative support, two of the four years must include supporting a NAVAIR Program Office. 

     

    CANDIDATES MUST HAVE CURRENT SECRET CLEARANCE.
