Job Description
SALARY: $16/HR TO START, WITH A MOVE TO $17/HR AFTER A GOOD 90-DAY REVIEW
COMPREHENSIVE BENEFITS PACKAGE AND 120 HOURS PAID TIME OFF ANNUALLY AND AN EXTRA 40 HOURS AFTER THE FIRST YEAR OF FULL-TIME EMPLOYMENT.
ANOTHER 40 HOURS OF PTO AFTER FIVE YEARS OF CONTINUOUS AND FULL-TIME EMPLOYMENT.
FULL TIME: MONDAY – FRIDAY, 9AM – 6PM (OCCASIONAL SATURDAY HOURS) IN BEAUTIFUL COEUR D’ ALENE, IDAHO

DUTIES & RESPONSIBILITIES:
• Operate multi-line telephone system, answering incoming phone calls with professionalism and enthusiasm. Determine purpose of callers and forward to appropriate staff
• Answer sales calls (from prospective tax clients) through use of emails, texts, phone calls, and website chats, meeting firm’s established service levels using canned responses and scripts
• Using scripts: Call and/or text existing sales leads (no cold calls) to schedule calls for sales team. Call clients and ask for Trust Pilot reviews. Other outgoing calls are required
• Coordinate and process client intake documents. Review documents submitted by clients such as power of attorney, contracts, and retainer payment arrangements. Accurate data entry and processing of client information into PTR proprietary database
• Scan, file, fax, and distribute mail, ensuring timely delivery to staff due to IRS and case deadlines.
• Support peers and clients with a positive, team approach consistent with our corporate culture of “taking good care of our clients and co-workers.”
• Special projects and reports as assigned by Management, maintaining strict confidentiality
POSITION QUALIFICATIONS:
• Accurate Typing at 60+ wpm required
• AA or higher degree in Accounting, Business, or Finance, preferred
• 2-years recent experience as Administrative Assistant / Office Assistant in the financial industry accounting, tax, financial, legal or mortgage industry, may be substituted for college degree
• Tech-savvy with a high level of proficiency in MS Office - Word, Excel, Outlook and Access
• Strong organizational skills and high attention to detail; must be able to balance multiple tasks and deadlines
• Ability to work in a collaborative team environment plus self-manage as an independent contributor
• Excellent communication skills both verbal and written
• Must be able to demonstrate eagerness as a self-starter and high achiever
• Must also be a natural problem-solver and possess the ability to drive and meet deadlines
• Must deliver exceptional client service; must be comfortable working in a nearly paperless environment
