Premier Staffing Source, Inc. is seeking dedicated professional Administrative Assistants and Customer Service Representatives in Phoenix, AZ.
POSITION DESCRIPTION This position will schedule meetings, take notes and distribute as appropriate. Complete travel requests and submit paperwork. Identify issues, research rules as needed to discuss with supervisor as appropriate and take action. Prepare documentation and/or contact appropriate staff for assistance or information; review and edit written documentation; prepare letters, personal actions, and memos. Assist with on boarding paperwork for new staff. standard work, scorecards, visual management, problem solving, huddle board, accountability boards and participation in huddles and reflection meetings. Assigns and monitors all requests for information and actions; sends reminders to staff and documents all responses; distributes assignments to staff; edit and proof read correspondence for proper format, grammar, punctuation and spelling. Responsible for tracking personnel related documentation. Provides assistance for the DERS WD Administration in regards to personnel rules and regulations. Schedules and maintains calendar appointments for Administrator and Administrator direct reports. Schedule and host meetings for Administration staff conference calls and/pr web meetings. Maintains conference rooms. Maintain shared drive. Attend mail and print meetings. Responsible to assist with in/out of state travel approvals and coordination; assigns and monitors requests for information and actions; sends reminders to staff and documents all responses; distributes assignments to staff; edits proofread correspondence for proper format, grammar, punctuation and spelling. Responsible for ordering supplies, printer leases, printer maintenance and shared bins. Responsible for keeping mail, inventory and mailings. Assist in submitting Cherwell requests, type letters and document control. Responsible for assisting and reminding staff to ensure that deadlines are met. Assist in reconciling HR, FBOA Administration reports. Scheduling calendar appointments; scheduling and hosting meetings for all staff meetings; Work on multiple assignments simultaneously; Establish and maintain effective working relationships with staff, state, and federal officials, and members of the public; Stay on task and complete long term projects; Exercise discretion when dealing with confidential issues; Manage assignments effectively with attention to detail; Use efficient personal time management and to make independent decisions; Set and achieve performance targets
SKILLS REQUIRED Must have excellent written and oral communications skills; Must be proficient in MS office suites and Google products; Must have excellent organizational skills including electronic file management, time management and prioritizing; Must have professional telephone skills; Have skill to quickly resolve problems; and make sound independent decisions; Must have strong command of the English language including grammar, spelling and punctuation. EXPERIENCE PREFERRED Knowledge: Federal/State laws and regulations applicable to programs of responsibility; Personnel and management principles; Budget, fiscal, and procurement practices; Federal Labor Standard Act; Department/Division program policies and procedures; and ADOA, and DES personnel rules and procedures.
