Presby's Inspired Life is seeking a talented, passionate and caring individual to provide simultaneous administrative support for 2 departments ( Human Resources and Materials Management) at our home office in Lafayette Hill (suburban Philadelphia). Come Be Exceptional. Without Exception. POSITION OVERVIEW Responsible for performing a variety of duties to support the overall Human Resources and Materials Management functions. Assists in HR compliance issues and ensures full compliance with regulatory requirements at all times. Performs duties in support of Presby's Inspired Life's mission to ensure the highest quality of resident care in an economically sound and efficient manner. Provides exceptional customer service in support of Presby's Service from the Heart. POSITION RESPONSIBILITIES 1. Provides administrative support to the Vice President of Human Resources by proactively offering assistance, arranges meetings and conferences, schedules appointments, makes travel and hotel arrangements as needed. 2. Assists with new hire process by assembling and maintain inventory of new hire packets; sets-up and maintains employee files. Supports the planning and coordination of monthly new hire orientation. 3. Supports the planning and coordination of employee recognition events. Coordinates event dates, communications, and event logistics. Establishes and maintains positive relationships with vendors. 4. Conducts clearance checks for identified positions required for regulatory compliance. Notify community HR Representative of check completion and results. Responds to employment verifications and requests for information. Verifies the appropriateness of the request and verifies what information can be shared. Files completed reports. 5. Maintains files on capital budgets. Preparing detailed spreadsheets of budget line items. Ensuring accuracy of spreadsheet calculations. 6. Tracks and maintains files of vendor contracts. Emails and receives agreements/contract. Maintains folders of executed contracts. Sends out Certificate of Insurance Request forms. Ensures current contracts and COIs are appropriately filed and outdated contracts stored. 7. Reviews and processes department invoices using ReqLogic. Ensures accuracy of invoice amounts and timeliness of processing. Charges invoices to appropriate line item and records all expenditures in the appropriate budget spreadsheet. Maintains expense reports for materials management. 8. Prepares HR meeting agendas and records meeting minutes. Transcribes meeting minutes of committees chaired by the Vice President of Human Resources. 9. Supports departments with scheduled mailings (brochures, postcards, invitations) and other human resources communications. Assists with HR related projects as needed. 10. Creates and maintains databases, forms, tables, and reports as needed. Orders office supplies and ensures supplies are fully stocked. 11. Ensures office equipment is working properly and serviced regularly. Serves as the point of contact for office equipment vendors. QUALIFICATIONS Education/Training: Minimum Associate's Degree in business administration or related field with an emphasis in a business curriculum. Skill(s): Advanced user level of word processing, spreadsheet and presentation software such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and other applicable software. Ability to communicate and interact clearly, courteously, and professionally with all levels of the organization. Proven competence in handling confidential information. Strong skills in planning, organizing and handling multiple tasks. Ability to complete all job duties in an independent manner and with a high quality of work. Experience: A minimum of two year's administrative support experience required. Experience with Human Resources Information Systems a plus.
