    Job Description

    PFI InStore is a leading designer and fabricator of retail store displays and fixtures. Our displays and fixtures are made of plastic, wood, metal, or wire which provide our customers with a variety of in-store solutions to merchandise products.

    The Executive Assistant is primarily responsible for supporting the PFI InStore Executive Leadership team. This will include assisting with special projects and working independently on assignments that perform a variety of more complex and advanced administrative work.

    RESPONSIBILITIES:

    · Assist with preparing for meetings, conferences, programs and/or special events at the company’s various locations and event venues.

    · Organize and schedule appointments, coordinates travel arrangements

    · Manage the Executive Leadership team’s calendars in Microsoft Outlook

    · Attend and take minutes at meetings as requested

    · Communicate with other employees, suppliers, financial services, and customers as request by executive leadership.

    · Organize information for reports or presentations including visual components such as charts, graphs, pictures or videos

    · Responds to correspondence. Edits and proofreads documents.

    · Assist with various other special projects as needed.

    · Assist executive management in projects as requested.

    · Handle a variety of administrative responsibilities in support of the executive(s)

    · Performs other duties as assigned.

    REQUIRED QUALIFICATIONS:

    • High School Diploma or equivalent; Associate or bachelor’s degree preferred
    • Previous Executive Assistant experience required

    REQUIRED SKILLS:

    • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
    • Knowledge of office management systems and procedures
    • Knowledge of video conference platforms such as Zoom, Teams Goto Meeting
    • Working knowledge of office equipment, like printers and fax machines
    • Proficiency in MS Office (MS Teams, Excel and MS PowerPoint)
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and problem-solving skills
    • Excellent written and verbal communication skills
    • Strong organizational skills with the ability to multi-task
