Position Title: Estate Manager and Personal Assistant
Location: Colorado, Texas, New Mexico, Arizona
Position Type: Full-time
UHNW CEO/Principal is the owner of multiple ski resorts and recreation parks, seeking a highly experienced Estate Manager / Personal Assistant who will take full charge of the daily operation of multiple residential properties and staff. This position requires regular travel to all properties. The successful candidate has previous experience working in private homes and has managed multiple properties and residential staff. This individual will have oversight and management responsibility for household expenditures, service levels, systems, procedures, protocols, maintenance, and capital projects. The individual will work closely with the family office team to ensure seamless cooperation and efficient flow of information.
The Estate Manager/Personal Assistant will have direct management responsibility for residential staff while having direct oversight of other contract workers.
This position requires the highest level of organization, multi-tasking, and discretion. Must have a keen eye for detail and be very perceptive, will need to execute advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience, skill, and knowledge. The ideal candidate must be reliable and able to work flexible hours and must respect privacy, understanding the need for confidentiality in all areas of work. The successful individual will use initiative, independent judgment, tact, and diplomacy with sensitive, complex, and highly confidential business.

SOME OF WHAT YOU’LL DO:
- Hire, manage, and train residential staff and serve as a single point of contact between the staff and the principal and his family
- Provide a real-time implementation of principal's requests and attention to their personal needs including the needs of family and extended family as requested.
- Develop manuals, guides, inventories, and calendars to ensure consistent and timely execution of tasks at the desired level of service
- Set tasks and priorities for action items you manage as well as each staff member’s specific position (daily, weekly, monthly, quarterly, and annual duties) and ensure high-quality execution
- Establish and keep a residential inventory of items ranging from cleaning products to housewares, to food and beverage
- Assume responsibility for the residential and commercial properties, maintaining orderly operation and maintenance of the entire property
- Schedule a weekly (or as requested) meeting with the principal to monitor his feedback and personal preferences and communicate those wishes to appropriate staff members
- Develop and maintain the schedule of maintenance, cleaning, and other tasks to be performed on a daily, weekly, monthly, quarterly, semi-annual, and annual basis, as well as seasonal tasks
- Oversee the maintenance and care of the family's vehicles and recreational equipment and manage logistics for where each vehicle needs to be located/relocated to various changing destinations, maintaining inventory supplies, propane, fuel, and fluids.
- Manage the logistics of owners/ and family members' personal items from one location to another and back, managing where items are at any given time.
- Train staff to implement the highest level of service and standards at all residences
- Demonstrate an "open-door'' policy and lead by example. Ensure staff is punctual and attending to their duties as established
- Coordinate travel (including pick up and drop off) and assist in packing and unpacking for travel
- Coordinates planning and staffing for special events
- Maintain sensitive documents (birth certificates, passports, etc) and coordinate with principal and family office to provide these as needed
- Ensure easy transitions between residences for both family and staff
THE IDEAL CANDIDATE:
- Posses a get it done mentality. Able to get things taken care of in a timely fashion and is forwardly anticipating the needs and desires of the principals and the maintence of all items.
- Able to handle private and commercial travel management.
- Highly computer literate: Advanced level knowledge of MS-Office programs (Word, Excel, Outlook), especially Excel, and Internet; some experience with Smart home controls and devices
- Has 10+ years of relevant work experience in a private home or luxury hotel. Bachelor's Degree or higher preferred
- Understands that the utmost confidentiality and discretion in fiduciary duties are required
- Is proactive and anticipatory, with a passion to provide exquisite service
- A flexible, very high energy self-starter who is willing to roll up their own sleeves
- Has superior process, project, and time management skills
- Comes with a pre-existing tool kit of systems, processes, and best practices.
- Has strong analytic, organizational, and communication skills with attention to detail
- Is courteous and discreet, with a pleasant and optimistic personality
- Mature and collegial individual who encourages collaboration and customer service while also positive, proactive, and persistent. Grasps the broader picture with the flexibility to work outside of strict job description parameters
- Demonstrates poise and grace under pressure
- Able to build rapport and credibility quickly with principals, staff, the family office, friends, neighbors, and vendors
- Able to work additional hours as needed including some weekends and late nights
- Able to work legally in the United States, with a valid driver's license and clean driving record;
- Have outstanding verifiable references
- Physically able to perform the duties of the position and (if requested) willing to take a pre employment COVID and illegal drug test
- This position requires a background check and proof of good credit history. The employee will be asked to handle money and credit as part of this job. The credit report authorized by the signed candidate will be used to decide regarding employment. A poor report will result in elimination from consideration for this position.
