  • Responsibilities

    The Personal / Family Assistant to the CEO will support a variety of tasks related to the professional, personal, and family coordination of the CEO to simplify and streamline responsibilities. A successful candidate is deeply motivated with a solution-oriented, problem-solving mindset. The assistant should be highly organized and detail-oriented, be able to keep a pulse on multiple responsibilities simultaneously and be able to anticipate needs. A successful candidate should thrive in a fast-paced environment, and be occasionally available to travel as needed.

    Hours: Regular schedule is Monday – Friday 2pm – 7pm, every other Saturday 9am – 2pm

    Responsibilities

    Research, plan, coordinate, and facilitate a program to support the optimal development for CEO’s child with special needs.

    Program to include coaching and participation in sports including tennis, basketball, and swimming.

    Manages all aspects of children's calendars and schedules.

    Proactive and enthusiastic about delivering positive results.

    Familiar with working in a fast-paced environment and being on-the-go all day.

    Handle requests and queries appropriately, prioritize tasks, and execute responsibilities efficiently and in a timely fashion.

    Manage time effectively and keep organized. Possess strong attention to detail with the ability to understand and keep a pulse on multiple responsibilities.

    Act as a first point of contact for the CEO as necessary; able to answer phone calls and direct them appropriately.

    Keep digital records of tasks and longer-term projects. Track progress using MS Office, MS Teams, and related software.

    Transports CEO, family, and clients to and from appointments.

    Travels domestically and internationally with CEO and family when needed.

    Picks up and delivers items or runs errands for CEO, clients, and family.

    Shops for CEO and children (clothing, gifts, necessary items).

    Maintain high levels of discretion and confidentiality in all aspects of responsibilities.

    Maintain and report on financial records and activity (storing receipts from purchases, compare with credit cards, processing returns, etc.).

    Occasionally, perform office duties when needed.

    Occasionally, record notes and messages for the CEO.

    Must be dog friendly – take the dog to the vet occasionally.

    Qualifications

    Bachelor’s degree required in a related field.

    Experience working with children in an education/development environment is required.

    Excellent time management and organization, incredibly detailed-oriented

    Excellent oral communication, active listening, and written communication skills

    Experience with financial recordkeeping

    Strong customer service and social skills,

    Spanish speaking skills a plus

    Passport Ready

    Must be able to work overtime and occasionally on the weekends

    Comfortable lifting 30-50lbs

    Driver’s license with a clean driving record and reliable transportation
