    Job Description

    WE ARE CURRENTLY SEEKING A BILINGUAL (SPANISH / ENGLISH) RECEPTIONIST TO WORK IN OUR OFFICE MONDAY TO FRIDAY FROM 8AM - 5PM.

    Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, requisition of supplies, managing uniforms and cell phones, as well as additional clerical duties. The receptionist is expected to have the phone system open and operating promptly at 8:00 a.m. and throughout the day until 5:00 p.m. Relief front desk coverage will be provided by Office Manager and/or Payroll for breaks and a 1-hour lunch. Receptionist should work with relief coverage to determine appropriate times for lunch and break times.

    POSITION RESPONSIBILITIES:

    Including but not limited to the following:

    Answers telephones and directs the caller to the appropriate associate.

    Transfer call to an associate's voice mailbox when the associate is unavailable.

    Take and retrieve messages for various personnel.

    Greets and directs walk ins

    Hand out applications/ applicant tracking

    Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.

    Receive, and forward mail to Accounting Manager.

    Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

    Keep inventory, order, receive, stock, and distribute office supplies.

    Keep inventory, order, receive and distribute employee uniforms, aprons, and jackets.

    Set-up and maintaining company phones

    Order customer appreciation gifts, birthday cards, holiday gifts, etc...

    Maintain company Birthday Calendar

    Receive and dispose of returned uniforms and/or have them dry cleaned.

    Bind Business Proposals and MSDS books as needed.

    May also assist with other related clerical duties such as photocopying, faxing, filing and collating.

    Keep front desk, lobby, and classroom clean and orderly:

    Make sure fax and copy machine always has paper, toner and are functioning correctly.

    -Contact copier repair when machines are not working properly

    Keep phones/fax numbers and forms updated on copy machine

    Keep forms in cubbies stocked at all times

    File applications

    Other duties as assigned.

    ESSENTIAL SKILLS AND EXPERIENCE:

    Possession of a high school diploma or equivalent (GED).

    Less than to 1 year of relevant experience and/or training, or equivalent combination of education and experience.

    Knowledge of MS Office (Word, Excel, Outlook, Access, Publisher)

    Possession of strong organizational skills.

    Excellent phone etiquette.

    Excellent verbal and written communication skills.

    Punctual

    Professional Appearance

    Ability to work independently on assigned tasks with minimum supervision as well as to accept direction on given assignments.

    Able to work collectively with the administrative team associates.

    PHYSICAL DEMANDS AND WORK ENVIRONMENT:

    While performing the duties of this job, the employee is occasionally required to walk; sit; use hands and finger, handle, or feel objects, tools , or controls; reach with hands and arm; balance; stoop; talk or hear. The employee must occasionally lift and/or move up to 20 pounds.

    Work Environment: Work performed is generally in an office environment.
