    GENERAL SUMMARY:

    The Administrative Assistant coordinates administrative activities (including distributing correspondence, organizing appointments, and redirecting phone calls) and executes all responsible tasks to the highest quality standards. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. The Administrative Assistant will be familiar with general concepts, practices, and procedures. This position is Full-Time with an expectation to work in person at our office in Wilshire Park M-F 8:30am-5:00pm. Learn more about our Company on our website: https://www.prohealthca.com/#~87Z3Z93

    PRINCIPAL DUTIES AND RESPONSIBILITIES (Included but not limited to):

    Answer, screen, transfer, and forward incoming phone calls.

    Check voicemail daily for messages and forward messages to the appropriate recipient.

    Direct visitors to the appropriate person and office.

    Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g. pens, forms and brochures).

    Receive, sort, and distribute daily mail/deliveries.

    Maintain office security by following safety procedures and controlling access via the reception desk.

    Forward Prescriptions and Medical Progress Notes to the Case Manager and Intake Department.

    Receive and complete admission forms from the RN, and follow up on pending forms.

    Upload Rx Prescriptions, Division of Licensing and Certification Summary, Claim Billing, MD Progress Notes, Eligibility, Admission Forms etc. to Electronic Medical Records Software.

    Contact local hospitals when a patient is hospitalized and verify the patient's admission status. Follow up with the Daily Hospital Log until the patient is discharged, and document properly.

    Request admission/discharge summary, ER Visit Reports, and MD Progress Notes from hospitals.

    Responsible for Data Entry (Non Admits, History and Physical Examinations, etc.)

    Fax all Lab Reports to MD/Pharmacy if required and email Reports to Patient if requested.

    Check Discharged Patient Folder to upload paperwork on EMR software.

    Assist with New Employee Orientation.

    Update employee calendars and assists with scheduling meetings.

    Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.

    Other Duties as Assigned.

    EDUCATION and EXPERIENCE:

    High school diploma or equivalent.

    Proven work experience as a Receptionist, Front Office Representative or similar role in a Health Care Setting.

    SKILLS AND ABILITIES:

    Proficiency in Microsoft Word, Excel, and Google Workspace.

    Hands-on experience with office equipment (e.g. fax machines and printers).

    Solid written and verbal communication skills.

    Ability to be resourceful and proactive when issues arise.

    Excellent organizational skills.

    Multitasking and time-management skills, with the ability to prioritize tasks.

    Customer service oriented mindset.

    Knowledge of medical terminology.

    PHYSICAL REQUIREMENTS:

    Prolonged periods of sitting at a desk and working on a computer.

    Must be able to lift up to 15 pounds at times.
