Summary We are seeking a Procurement & Inventory Coordinator to join our team at Primary Healthcare Centers. In this role, you will be responsible responsible for keeping track of Inventory at the warehouse and the different locations. The Procurement & Inventory Coordinator is also responsible for assisting with ordering and dispensing requested items to clinical and office staff. You may also assist the Finance Department with Accounts Payable as assigned.
Responsibilities
Processes signed requisitions from all departments, filling and distributing orders in a timely manner.
Establishes re-order levels.
Assists with ordering supplies for stock, medical, dental, and office areas.
Maintain an organized stock/supply room.
May assist with negotiating and updating product pricing with Vendors.
Shelves all items received to stock/supply room and/or properly distributes items to sites per the requisitions.
Maintains complete filing system for all supply requisitions filed by month for the current year.
Maintains lists of all regularly ordered items with current pricing and comparisons for all clinical, pharmaceutical, injectable, office and janitorial supplies.
Verifies that orders are correct when received by comparing order confirmation with packing slip and items received, verifying quantities and units are accurate. Packing slips to be signed off on.
Provide a copy of all MSDS (SDS) for medical and office supplies to designated personnel in charge of keeping sheets up to date.
Monitors for expired items and properly disposes said expired items.
Assists with pricing and ordering various medical and office equipment and furniture as requested.
Assists with pricing and ordering start-up supplies and equipment for new clinics as requested.
Positive communication with vendors, representatives, and various internal staff.
Assists with pricing/shopping for miscellaneous items/supplies online through Amazon, eBay, etc.
Assists with researching and pricing of non-standard supplies, equipment, etc. as needed/requested.
Maintains monthly stock inventory in MS Excel
Assists in develop an inventory system at each site; and maintain inventory levels at each site.
Assists in developing and maintaining asset inventory system for equipment.
Handles Direct Relief orders by counting and comparing what is received with the order details, places stickers on required items, sorts and distributes to the clinics.
Properly code invoices for supplies and equipment purchases, for payment by Accounts Payable.
Travel to and from sites to deliver supplies including perishable items and perform inventory counts. This can involve lifting packages weighing up to 50 lbs.
May assist Accounts Payable with ensuring any new vendors are not on the OIG and GSA excluded individual and entities list.
Assists with maintaining IT equipment inventory and assignments. Including assisting IT staff with minor tasks.
Requirements
Minimum of a high school diploma, general education degree, or equivalent is required.
Strong mathematical skills required.
Must have a valid driver’s license. Travel required.
Must occasionally lift and/or move up to 50 pounds.
