    VISION FOR POSITION

    The Operations Coordinator will be a team player in ensuring that key operational systems will be run efficiently and effectively at Prodeo Academy's St. Paul Campus, serving students in PreK-4th grades. This leader will be responsible for executing on academy-wide systems in the areas of food service, transportation, and facilities management. The Operations Coordinator will work in close partnership with academy-based Director of Operations and other members of the campus operations teams to ensure that instructional staff and scholars can focus on teaching and learning. The position requires strong communication skills, collaboration, the ability to manage one's time effectively and efficiently, a strong attention to detail, and a passion for continuous improvement in a dynamic and fast-paced work environment. 

    ESSENTIAL FUNCTIONS

    The actions of the Operations Coordinator must always be aligned with our mission, vision, and core values.  This position plays a critical role in the execution of the campus' day-to-day operations and supporting the other Operations staff when needed. The key responsibilities for the role are as follows:

    Facilities Management

    • Manage the campus' custodial team and serve as the liaison with after hours cleaning crews.
    • Schedule any non-standard cleaning services with contracted vendors, such as summer deep cleanings or special treatments over holiday breaks. 
    • Tracks, process, and ensure completion on facilities work orders submitted by staff members.
    • Conduct weekly facility walkthroughs using a building rubric. 
    • Ensure the organization, cleanliness, and visual culture of campus common areas. 
    • Work to ensure that accurate student data, including testing, is present and updated across each of the school's different systems
    • Coordinate the development of emergency systems (i.e. fire and lockdown drills) in consultation with academy-based Directors of Operations.

      

    Food Service

    • Serve as the primary liaison with the network's food service vendor and conduct weekly ordering of meals. 
    • Collect accurate counts of the number of breakfasts, lunches, and snacks served each day in order to submit required state reporting. 
    • Lead the campus' meal service systems to ensure proper compliance under federal and state regulations.
    • Submit documentation and apply for necessary health, safety, and food service licenses. 
    • Work with Director of Operations and Principal to properly schedule lunch periods.

    Inventory, Supply Management, and Campus Procurement

    • Regularly inventory the campus' stock of general-use supplies and re-order as necessary.
    • Organize and maintain storage and supply stations throughout the building to ensure that staff have all required materials. 
    • Troubleshoot technology and equipment issues and submit service requests, as necessary. 
    • Coordinate with custodial staff to ensure stocking of building supplies and equipment.

     

    Transportation  

    • Serve as the primary campus liaison to the network's transportation vendor. 
    • Provide feedback to the transportation vendor on service quality and to troubleshoot problems with performance. 
    • Communicate with families about changes to their  transportation and route assignments. 
    • Maintain the campus' dismissal database and prepare daily dismissal lists for classrooms. 
    • Lead on the school's arrival and dismissal systems to ensure reliable, safe, and accurate execution.

     

    Other Duties and Expectations

    • Collaborate with colleagues to continuously improve personal practice and achieve overall goals and mission of the school and the network.
    • Interface with students and families on a regular basis in a warm and professional tone
    • Model a culture of service and support in executing your role
    • Other administrative duties may include filing, copying, faxing, typing memos, maintaining databases of student information.

     

    Qualifications and Skills

    • Bachelor's degree

    • At least 3 years' work experience      

    • High tolerance for ambiguity, changing work priorities and deadlines, and a willingness to take on responsibilities and to prioritize work on multiple projects;

    • Ability to communicate and interact effectively with multiple constituencies including parents, staff and students;

    • Team-player attitude and strong customer-service orientation;

    • Proficient in office software, e.g. Microsoft Excel, PowerPoint, Word, Google Drive, etc.; 

    • Demonstrated initiative, tenacity, punctuality, and poise

    • Meticulous attention to detail and dedication to data accuracy and reliability

    • Karen or Kayah fluency preferred.
