    Summary: The PRODUCT AND SAMPLE COORDINATOR position is a dual role responsible for DecoPac’s supplier sample process and assisting the Product Management department in day-to-day responsibilities to support DecoPac’s go-to market strategies. This position ensures all samples received for Product Performance Testing are accurately logged, errors or inconsistencies are identified and corrected before internal processing, and that proper documentation is maintained. This position facilitates the samples through the decoration and testing process, communicates status, and results. Attention to detail is crucial, as any errors can impact downstream operations and compliance. This position is also responsible for collaborating with Product Management to coordinate, track and manage multi-dimensional projects and keep accurate and complete records for all products as they flow through the product development process. The PRODUCT AND SAMPLE COORDINATOR must excel in a highly collaborative environment, balancing multiple projects and stakeholders across the organization, positively and proactively.

    Responsibility:

    • Follows all Standard Operating Procedures and Environmental Health & Safety requirements
    • Sample intake, tracking, reporting and documentation for Anoka and Bentonville
      1. Maintain a master log of all samples received, samples in product performance testing, expected timing for testing results, and testing results upon availability
      2. Retrieve supplier samples upon receipt in the DecoPac warehouse
      3. Log all samples received each day in the master log and process documentation
      4. Ensure each sample is accurately labeled and the necessary ingredient information accompanies the sample
      5. Notify Procurement promptly if samples are missing required information
      6. Notify Design and Quality when a sample meets intake requirements, is logged and ready for product performance testing
      7. Log when samples begin product performance testing
      8. Log when sample product performance testing results are available
      9. Notify organization of product performance testing results and share completed reporting as needed
      10. Report rush or urgent samples immediately
      11. Maintain an organized and clean work area, including bins, racks, refrigerators, etc.
      12. Ship samples to DecoPac sites, sales and licensors
      13. Frost cupcakes, as needed, to support testing
    • Product Coordination
      1. Coordinate, track and manage multi-dimensional projects for non-licensed product lines to support the needs of DecoPac’s customers and meet business objectives
      2. Effectively communicate to stakeholders at key milestone intervals
      3. Complete tactical operational activities to support business objectives – including item setup, item maintenance, product information management processes, proofing, item catalog, etc.
      4. Identify and execute product data audits. Includes item maintenance updates (p8/PIM).
      5. Work with the Amazon project lead to identify best practices for adding / removing / maintaining items
      6. Create and organize support materials, including presentations, product line lists and reports in preparation for presentations and meetings
      7. Gather competitive information to support product and marketing functions of the department
      8. Manage and coordinate projects through new product development, such as sample management, photography, and other cross-functional requests
      9. Assist with the planning and execution of events and projects
      10. Be open and willing to drive continuous improvement

    Qualifications:

    • 2 years of work experience in inventory or sample management.
    • BA/BS in business, marketing or equivalent, strongly preferred.
    • Prefer CGMP laboratory experience and/or exposure to food manufacture

    • Problem solver that can identify and resolve problems in a timely manner, gathers and analyzes information skillfully, and maintains confidentiality
    • Work cross-collaboratively with various teams, including Marketing, Licensing, Sales, Procurement, Customer Service, and Warehouse to achieve business objectives
    • Ability to work independently and as part of a team

The employee is occasionally required to stand, and/or walk. The employee must occasionally lift and/or move up to 10 pounds while moving files or small packages.
