    Distinctive Roofing, a leader in the roofing industry for over 25 years, is seeking a highly organized, proactive, and detail-oriented Production Administrative Assistant to join our team in Pompano Beach, FL. This full-time, on-site role is essential in supporting our project production team, ensuring seamless operations, and keeping projects on track.     What You’ll Do:

    Client Onboarding & Communication

    • Assist with client onboarding, ensuring all necessary documents, contracts, and approvals are completed.
    • Communicate with clients via email and phone, providing updates and answering inquiries.
    • Ensure a smooth transition from sales to production, keeping all stakeholders informed.

    Project & Production Support

    • Assist the Production Team – Provide administrative support to the Project Manager and Assistant Project Manager, ensuring projects stay on schedule and within scope.
    • Support Project Planning & Execution – Help coordinate activities for construction managers and subcontractors, ensuring objectives and deadlines are met.
    • Draft Orders – Prepare and process orders for labor and materials, ensuring timely and accurate procurement.
    • Maintain Schedules – Assist in scheduling job timelines, inspections, and subcontractor work to optimize workflow.
    • Participate in Meetings – Attend team meetings and assist with agenda preparation, meeting notes, and action items.
    • Generate Reports – Create regular progress reports and KPIs for the team and management.
    • Assist in Reaching KPIs – Support the team in achieving their KPIs by ensuring all administrative tasks are completed accurately and on time.

    Documentation & Organization

    • File & Manage Documents – Maintain accurate and organized records of project files, contracts, permits, and material orders.
    • Manage Photos & Reports – Organize project progress photos and documentation to ensure records are up to date.
    • Maintain Project Logs – Ensure all project documentation is regularly updated, organized, and accessible to the team.
    • Other Admin Tasks – Perform any other administrative work necessary to support the team and the business.

    Qualifications:

    • Experience: 2 years in administrative/project support, preferably in construction, roofing, or a related field.
    • Education: High school diploma or equivalent (preferred).
    • Language: English required; Spanish is a plus.
    • Age: 18 years or older.
