    GreenLoop IT Solutions is seeking a Professional Services Manager to drive the operational execution of our Professional Services (PS) department. This role owns project intake, procurement, resource coordination, scheduling, client communication, and documentation accuracy across PS engagements. In this role, the PSM acts as the operational backbone for the department—supporting architecture and engineering by ensuring projects are fully prepared, properly resourced, stocked, scheduled, and managed to completion. This role also serves as the escalation and backlog relief point for Inside Sales on complex or non-standard procurement, custom workstation/server builds, and vendor issues. This role is outcome-focused, ensuring our PS engagements are completed on time, on budget, and with high client satisfaction. While this position can be performed remotely by a qualified, self-driven candidate, preference will be given to applicants in the Mountain Time zone, Central Time zone, or in Arizona. Work hours are 8 am-5 pm, aligned with one of those time zones. Responsibilities: Resource & Schedule Coordination • Coordinate with the Dispatch team to align team scheduling to project needs. • Coordinates with the Dispatch team to dynamically update schedules for PS work as needed for timely completion. • Ensure engineers receive complete, ready-to-execute project plans with no missing details, parts, or access. • Leads coordination and communication for all aspects of service delivery via contractors/outsourced vendors at remote customer sites. Project Lifecycle Ownership • Act as the Project Manager for Professional Services and Managed Services projects through their entire lifecycle, from signed proposal to close-out. • Hydrates and builds complete projects, tasks, dependencies, and prerequisites based on SE/Director handoff. • Monitors project timelines, blockers, budgets, and scope adherence daily. • Escalates issues immediately when projects drift off-track. • Coordinates project QA process prior to close-out, to ensure project as-delivered matches our scope of work, core values, and best practices. Ensures that follow-up work is scheduled and completed before project close-out. • Drives project closeout steps to completion and final billing: documentation, billing justification, inventory logging, client approval, and service handoff. • Works with the Director on post-project debrief meetings: Identifies opportunities, schedules appropriate resources, and creates an agenda. Ensures iterative improvement decisions are incorporated into ongoing processes. Procurement & Vendor Management • Own all procurement for PS: hardware, software, licensing. • Maintain inventory accuracy of standard MSP equipment and restock proactively. • Serve as escalation for Inside Sales on complex/custom equipment builds and vendor escalations. • Manage vendor timelines, ETAs, backorders, substitutions, and cost accuracy. Process & Workflow Management • Maintain and improve PS operational workflows across intake, procurement, scheduling, and delivery. • Ensure all project and procurement stages have clearly-defined process steps, and that ongoing operations honor the defined process. • Identify operational gaps and propose scalable improvements. Client Communication • Serve as the lead point of contact for clients on active Professional Services and Managed Services engagements. • Creates agenda, coordinates attendees, and leads project kick-off communication and project delivery meetings with clients. • Deliver clear, timely updates on schedules, changes, blockers, and milestones both internally and externally. • Handle escalated communication during delivery while shielding engineers from administrative noise. Documentation & Reporting • Ensure all documentation is completed before project closure. • Maintain accurate PS dashboards/boards. • Provide leadership with regular updates on project throughput, procurement status, and operational risks. Qualifications: Job Competencies • Strong written and verbal communication; able to convert technical details into clear, non-technical client messaging. • Demonstrated ability to coordinate resources and manage operational load. • Highly detail-oriented; zero tolerance for missing parts, access, or prerequisites. • Strong prioritization and time management; comfortable owning multiple in-flight projects. • Proficient with MSP tools such as ConnectWise Manage, RMM platforms, and procurement portals. • Foundational understanding of MSP hardware, licensing, and service delivery concepts. • Continuous improvement mindset focused on removing friction from delivery. Educational / Experience Requirements • 2+ years in a technology-related or MSP operational role (project coordination, procurement, service management, etc.). • Experience coordinating vendors and managing procurement cycles. • Project management or service management certifications are helpful but not required. • College degree preferred but not necessary. Key Performance Metrics • % of PS projects delivered on time and within budget. • Accuracy of procurement, inventory levels, and vendor timelines. • Engineering readiness (percentage of projects starting “fully prepared”). • Client communication turnaround time. • Reduction of delivery delays caused by missing parts, missing info, or scheduling gaps. • Contribution to process improvements that reduce cycle time or increase throughput. Compensation: $65,000 - $75,000 yearly
