Program Administrative Coordinator
RICAR Business Consulting LLC (RBC) is looking for a Program Administrative Coordinator to provide essential program and administrative support services for statewide management consulting projects. This role supports the Florida Department of Management Services' Statewide Management Consulting Services by ensuring smooth project execution through effective coordination, documentation, and administrative assistance.
Job Description Summary
The Program Administrative Coordinator plays a vital role in helping consulting teams reach project objectives. This position offers direct administrative and operational support to consultants and analysts, manages project documentation, and ensures that deliverables meet client expectations. The role demands keen attention to detail, strong organizational skills, and the ability to handle multiple projects in a fast-paced environment.
Key Responsibilities
- Coordinate and provide administrative support services to consulting staff and client stakeholders.
- Support the preparation, formatting, and delivery of project documents and reports.
- Provide graphics, editorial, and desktop publishing support for presentations and deliverables.
- Maintain version control and ensure accuracy of project documentation.
- Track project timelines, deliverables, and task completion.
- Assist with meeting scheduling, logistics, and communication with client stakeholders.
- Provide direct support to consulting and analyst staff in the development of deliverables.
- Perform other administrative tasks necessary to ensure successful project execution.
Required Experience
- Minimum 2–3 years of administrative, project coordination, or program support experience.
- Experience supporting consulting teams, government contracts, or professional services preferred.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management tools.
- Experience with desktop publishing and/or graphics editing tools (e.g., Adobe Acrobat, Canva, Publisher) is desirable.
- Demonstrated ability to manage multiple tasks with accuracy and timeliness.
Education & Certifications
Required:
- Associate's degree in Business Administration, Office Administration, or a related field; or equivalent work experience.
Preferred:
- Bachelor's degree in Business, Communications, or related field.
- Professional certifications in administrative support, office management, or project coordination are a plus.
Work Location & Arrangement
- Work will be performed at Florida state agency offices statewide , as designated by project assignments.
- Hybrid or remote work may be authorized if approved by the customer.
- Travel may be required depending on project needs.
Schedule & Position Type
- Full-Time (40 hours/week).
- Standard business hours (Monday–Friday, 8:00 a.m. – 5:00 p.m.), with occasional adjustments based on project needs.
Compensation Range
- Salary: $55,000 – $70,000 annually, commensurate with experience.
- Paid bi-weekly.
