    Position Summary:

    The Program Administrator Assistant supports the Program Director in the day-to-day management of residential services for at-risk youth. This role helps ensure that operations run smoothly, documentation is completed accurately, and all licensing, regulatory, and internal standards are maintained. The assistant acts as a liaison between staff, youth residents, partner agencies, and administration, playing a vital role in creating a structured, safe, and supportive environment.

    Key Responsibilities:

    Assist the Program Director with daily administrative tasks, scheduling, and program coordination.

    Maintain organized and up-to-date client and employee files and documentation in compliance with licensing and internal standards.

    Onboarding employees

    Gathering documents for Client admissions.

    · Develop and update policies and procedures

    Assistance with creating daily activities, weekly / monthly menu planning.

    Conduct weekly audits medication and ordering medication refills or follow ups

    Support communication with staff regarding shift coverage, training schedules, and incident reporting.

    Help track resident progress and coordinate documentation with case managers and behavioral health staff (visits and phone calls).

    Prepare reports, memos, and communications as directed.

    Monitor compliance with program policies, procedures, and safety regulations.

    Assist with new staff onboarding and ensure training documentation is properly submitted.

    Serve as backup support for direct care staff when needed.

    Maintain confidentiality and a trauma-informed, youth-centered approach at all times.

    Qualifications:

    High school diploma or GED required,

    Experience in a group home, behavioral health, or residential program is highly valued.

    Strong organizational and communication skills.

    Ability to multitask and prioritize in a fast-paced environment.

    Proficiency in Microsoft Office (Word, Excel, Outlook) and basic data entry.

    Must pass a background check and meet all state/federal licensing requirements.
