    Organization: Figure Skating in Harlem (FSH) FSH is a thriving youth development organization - the first to combine the power of education with the grace and discipline of figure skating to help girls transform their lives and grow in confidence, leadership and academic achievement. For over 28 years, our award-winning afterschool and summer programs provide girls ages 6 to 18 from low-income communities with access to innovative education and health and wellness services that help them reach their fullest potential. Our vision is for every student, regardless of socio-economic background, to acquire the foundational academic, social and leadership skills to achieve her dreams.

    Position Summary: The Program Operations & Events Coordinator will play a key supporting role in ensuring the smooth day-to-day operations of Figure Skating in Harlem’s after-school, winter, and summer programs, as well as assisting with recruitment and family engagement events. Working closely with the Director of Program Operations, this position will help coordinate administrative processes related to admissions, registration, data entry, and event logistics. The ideal candidate is highly organized, detail-oriented, and has excellent interpersonal skills to support positive experiences for families and colleagues.

    Position Type:

    Part-Time, 20-30 hours/week

    Key Responsibilities:

    Program Operations & Admissions

    • Serve as a support contact for admissions and registration processes across FSH programs, under the guidance of the Director of Program Operations.
    • Assist with admissions interviews by conducting initial outreach and scheduling with prospective students and families.
    • Support the maintenance of registration forms, installment plans, discount codes, and tuition payment tracking.
    • Assist families with system navigation, troubleshoot technical issues, and provide customer service support.
    • Assist with processing financial documentation and compiling information for tuition rate determinations.
    • Support the upkeep of accurate and up-to-date student records, including attendance, health forms, and tuition payments.

    Data Management & Reporting

    • Support the maintenance and integrity of databases and tracking systems for program participants.
    • Assist with generating reports related to program performance, enrollment metrics, and tuition tracking.
    • Support efforts to review and resolve data discrepancies in collaboration with the Director of Program Operations.

    Communications & Family Engagement

    • Draft program-related communications such as updates, schedules, and announcements for review.
    • Assist in reviewing program evaluations and surveys, summarizing results, and providing logistical support for improvements.
    • Support family events, recruitment fairs, and other promotional activities, including occasional evenings or weekends.

    Program & Event Logistics

    • Assist with planning and coordinating program logistics and special events.
    • Support program debrief sessions and contribute to assessments of program operations.
    • Collaborate with the Programs team to support workflow improvements and implement best practices as directed.

    Qualifications:

    Required:

    • Bachelor’s degree in a related field with 3-5 years of experience in program coordination, operations, or project support roles.
    • Advanced proficiency in Microsoft Excel, including VLOOKUP, PivotTables, array formulas, and data validation.
    • Proficiency in CRM and program management systems (e.g., Salesforce, Amilia, Apricot Solutions).
    • Excellent professional communication skills (verbal and written), including email correspondence and report writing.
    • Strong organizational skills with the ability to balance multiple priorities and deadlines.
    • Proven ability to work independently and collaboratively across teams.
    • Curiosity and initiative to support system improvements and streamlined workflows.

    Preferred:

    • Proficiency in Spanish (speaking, reading, and writing).
    • Familiarity with the U.S. Figure Skating Learn to Skate curriculum.
    • Experience working in customer-facing or administrative support roles.
