    The Reno-Tahoe Airport Authority (RTAA) is leading MoreRNO—a multi-year, billion-dollar capital improvement program to modernize and expand Reno-Tahoe International Airport. We are seeking a proactive and detail-oriented Program Support Specialist to join the team and support the delivery of this transformational infrastructure initiative. This is a temporary, full time position with a minimum term of 5 years, aligned with the duration of the MoreRNO Program. There may be opportunities to transition into other roles within the organization upon program completion. In this role, you will provide technical, administrative, and coordination support to the Program Director , Program Manager , and cross-functional teams - including project managers, consultants, and contractors. This is an exciting opportunity to contribute to high-impact aviation projects in a fast-paced, collaborative environment.

    This position provides essential administrative, technical, and coordination support across all phases of program delivery. The role requires a proactive, detail-oriented individual who can manage complex documentation, facilitate cross-team communication, and maintain operational continuity in a fast-paced, high-stakes airport environment.

    Salary : $63,125 - $79,537 annually based on experience, with opportunity for additional merit-based increases up to a range maximum of $95,949. This is a salary and overtime exempt position. Initial salary placement will be based upon experience and qualifications.

    Key Responsibilities:

    Technical & Administrative Support

    • Support day-to-day construction and project delivery activities through accurate documentation, scheduling, and reporting.
    • Assist with procurement processes including bid evaluations and contract documentation.
    • Facilitate the exchange of technical information between internal teams, consultants, and contractors.

    Document & Records Management

    • Assist with the setup and maintenance of document control systems to meet compliance and quality standards.
    • Track, distribute, and archive technical documents (RFIs, submittals, drawings, change requests, etc.).
    • Collaborate with Document Control and Project Controls teams to ensure consistent and organized file management.

    Program Coordination

    • Monitor project schedules, performance metrics, and progress reporting.
    • Support the creation of dashboards, risk logs, and project status reports.
    • Organize and coordinate internal/external meetings, including agendas, minutes, and action item follow-ups.

    Compliance & Quality Support

    • Review contractor and consultant documentation for administrative completeness.
    • Support technical review workflows and quality assurance tracking.
    • Maintain accurate issue logs and resolution records.

    Stakeholder Communication & Logistics

    • Coordinate with internal and external stakeholders to facilitate program-wide collaboration.
    • Assist with the preparation of reports, presentations, and briefings for stakeholder updates.
    • Manage logistics such as site tours, meeting space reservations, and travel coordination.

    Executive-Level Support

    • Provide administrative support to the Program Director and Program Manager, including calendar management, document preparation, and strategic initiative tracking.

    Central Communications Hub

    • Serve as the routing point for internal communications and information flow across the MoreRNO team and external partners.

    Special Projects

    • Complete special assignments related to research, process improvement, and development of tracking tools as directed.

    Risk & Issue Management

    • Help identify and log program risks or coordination issues; escalate items to the appropriate personnel for resolution.

    Minimum Qualifications:

    • Education: High school diploma or equivalent required.
    • Experience: At least 10 years of experience in program coordination, document control, or administrative support in a project delivery environment.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams), data entry, and project tracking systems.

    Preferred Qualifications:

    • Associate's or Bachelor's degree in Project Management, Business Administration, Construction Management, or related field.
    • Procore Certification.
    • OSHA 10 certification.
    • Prior experience in airport, construction, or capital program environments.

    Licensing & Certifications:

    • Valid Nevada Driver's License.
    • Must be eligible to obtain and maintain a Security Identification Display Area (SIDA) badge.

    Physical & Working Conditions:

    • Primarily office-based with routine use of computers and standard office equipment.
    • Must be able to lift and move items up to 50 lbs occasionally.
    • Occasional field work required; ability to walk job sites and navigate stairs or uneven terrain.
    • PPE (hard hat, safety vest, safety shoes) required when visiting construction zones.
    • May be exposed to varying weather conditions depending on project phase.
