This position is an administrative position working directly with our sales team and technicians.

    Essential Job Duties

    High attention to detail

    Assist with proposals are accepted by client

    Executive assistant to President

    Direct contact with clients in various capacities

    Support accounting with various payment stages of jobs

    Update payment status with Sales Team and Purchasing within software

    Once Scheduled (by sales team) – Keep track and work with Sales team on order processes

    Assist with job staging and confirm arrivals or items received

    Keep track and confirm when staging is ready for jobsite

    Keep track when items are “borrowed” from one job so that stock is replenished before the date we are to arrive on site

    Print Order List (Dtools) for sales orders

    Print Pick List for Warehouse staging

    Receive Purchase Orders along with Warehouse Staging of jobs.

    Assist with technician timesheet approvals for proposed jobs and Service Orders

    Update technician calendar and Dtools as needed (job changes)

    Assist with finalizing/closing jobs

    Review Installation List from Technician for job closing

    Confirm budget time with project actual time

    Obtain and send Certificate of Insurance as requested by builders

    Maintain outside contractor required forms

    Assist with Education Portal Set Up and tracking

    Customer Support/Sales Team Support

    Once final payment is made by a client, follow up on our overall service and get reviews

    Follow up with Technicians on products potentially needed for Service Orders

    Work with Purchasing on what items to order as needed

    Minimum Job Requirements

    Strong verbal and written communication

    General construction process experience a plus but not required

    Excellent attention to detail and organized

    Must be versatile with administrative duties

    Must have skills of adaptability

    Self Motivated, task driven

    Excellent customer service

    Microsoft Office - Excel experience with tables and charts a plus

    Effective time management and logical decision-making ability

    Eager to assist in multiple areas

    Ability to multi-tasks
