    Signs of Success is seeking a Project Coordinator to help keep active sign projects organized and moving through design, approvals, production, installation, punch list, and closeout.

    This role supports our PM/designers, production team, installation team, and owners by maintaining project information, tracking deadlines, following up on open items, supporting install packet preparation, and helping make sure jobs do not fall through the cracks.

    Primary Mission

    Support project flow by keeping schedules, action items, install packet deadlines, production readiness items, safety records, and project status visible and up to date.

    Key Responsibilities

    • Maintain and update the company Project Tracker.
    • Track project status, next steps, due dates, and open action items.
    • Follow up with PM/designers, production, installation, vendors, and clients as directed.
    • Identify projects that appear stalled or missing information and bring them to the appropriate manager.
    • Help maintain project schedules, production timelines, and installation dates.
    • Track upcoming install dates and install packet due dates.
    • Collect and organize install packet information.
    • Check install packets against a standard checklist.
    • Confirm required drawings, site notes, permits, hardware notes, access information, and contact information are included.
    • Flag missing or unclear information before installation.
    • Track production release status, buyout items, vendor orders, materials, permits, and change order status.
    • Help maintain safety training records, safety meeting logs, incident documentation, and follow-up items.
    • Track punch list items and incomplete installation items.
    • Help document what was completed onsite and what remains.

    Required Qualifications

    • Strong organization and follow-through.
    • Clear written and verbal communication.
    • Comfortable managing many details across multiple active projects.
    • Ability to use spreadsheets, cloud software, and project management tools.
    • Comfortable following up with office, production, field, vendor, and client contacts.
    • Ability to notice missing information and ask questions.

    Strongly Preferred

    • Experience in construction, signage, specialty trades, commercial interiors, custom fabrication, installation coordination, project administration, or production coordination.
    • Ability to read basic drawings, plans, layouts, or technical documents.
    • Experience with Smartsheet, Excel, QuickBooks, shopVOX, Bluebeam, or similar tools.
    • Bilingual Spanish/English is a plus.
