Responsibilities: What You’ll Do • Manage Project Execution : Oversee residential project timelines, milestones, and deliverables, ensuring alignment with project goals. • Liaise with Project Managers : Facilitate clear and effective communication with project managers to coordinate tasks, resolve issues, and keep projects on track. • Prepare Project Materials : Create, edit, and organize project plans, budgets, reports, and contracts for residential developments. • Organize Meetings : Schedule project meetings, prepare agendas and materials, take notes, and track action items to support project progress. • Coordinate with Stakeholders : Manage relationships with vendors, contractors, and partners, ensuring timely deliverables in collaboration with project managers. • Enforce Quality Control : Enforce quality control process measures that ensure compliance with contracts, building, and code regulations. • Assemble Closeout Packages : Assemble the closeout package, including maintenance agreements, equipment information, warranties, and contractor contact information. • Detailed Project Records : Detail accurate project team rosters, work logs of construction activities, and job information sheets. • Maintain Project Records : Keep accurate and organized documentation, including permits, plans, and financial agreements. • Protect Confidentiality : Handle sensitive project and financial information with professionalism and discretion. • Support Administrative Needs : Assist with project-related tasks like ordering supplies and managing budgets. • Take on Flexible Tasks : Step in for additional responsibilities to support project managers and team success. Qualifications: What We’re Looking For: • Experience : 2+ years as a project coordinator or similar role, ideally in real estate, construction, insurance, or a related field, with experience in budgeting or loan processing. • Education: High school diploma or equivalent required; associate’s degree in business, finance, project management, or related field preferred (or equivalent experience). Skills: • Excellent organizational and time-management skills. • Strong written and verbal communication, especially in working with project managers. • Proficiency in office productivity, project management, and financial software. • Knowledge of real estate financing, loans, or mortgages is a plus. • Familiarity with building codes, contract compliance, and project documentation is an advantage. • Ability to multitask and prioritize in a fast-paced setting. • Discretion with confidential project and financial data.
