    POSITION SUMMARY

    The Project Coordinator supports the successful execution of civil and utility construction projects by managing documentation, scheduling, permitting, and material procurement processes. This role serves as a liaison between project managers, field teams, vendors, and subcontractors, ensuring that project files, compliance requirements, and materials are accurate, timely, and aligned with project schedules. The Project Coordinator plays a key role in maintaining workflow efficiency and supporting on-time, on-budget project delivery.

    YOUR ROLE

    • Prepare and maintain project documentation, including subcontracts, RFIs, change orders, permits, and safety compliance files.
    • Set up projects in software systems (e.g., HCSS, Spectrum) according to company procedures.
    • Process locate tickets (e.g., Dig-Tess/811), verify confirmations, and file documentation.
    • Issue purchase orders with correct job and cost codes, verify ticket accuracy, and coordinate material deliveries with vendors.
    • Track subcontractor quotes, invoices, and insurance documentation for compliance and cost monitoring.
    • Update project schedules in Primavera P6 or Microsoft Project, verifying milestones and progress monthly.
    • Prepare and distribute agendas, meeting notes, and production reports for internal and external stakeholders.
    • Manage shared access to project plans, bid documents, redlines, and as-builts through SharePoint or Dropbox.
    • Coordinate change requests, pay estimates, and production tracking with project managers and field leadership.
    • Support field teams with timely material orders for asphalt, concrete, base, and utility materials.
    • Maintain RFI logs, change order logs, safety permits, and compliance checklists.
    • Assist with closeout packages, including as-builts, retainage tracking, and subcontractor documentation.
    • Resolve documentation, scheduling, and delivery issues to prevent project delays.

    WHAT YOU BRING

    • Bachelor’s degree in Construction Management, Civil Engineering, Business Administration, or related field; equivalent relevant experience may be considered.
    • 2–5 years of experience in project coordination, preferably in civil, utility, or heavy construction.
    • Proficiency with project management software such as HCSS, Spectrum, Primavera P6, and Microsoft Office Suite.
    • Strong organizational skills and attention to detail in managing multiple active projects.
    • Ability to read and interpret construction documents, civil plans, and specifications.
    • Knowledge of procurement processes, permitting, and safety documentation requirements.
    • Effective communication skills for working with project teams, vendors, and subcontractors.
    • Problem-solving skills to address scheduling, material, and documentation challenges quickly.

    PHYSICAL REQUIREMENTS

    Work is primarily performed in an office setting with regular visits to job sites. Must be able to sit, stand, and walk for extended periods, including walking on uneven terrain during site visits. Occasional lifting of up to 25 lbs. may be required for handling documents, samples, or materials. Must tolerate outdoor conditions during fieldwork, including exposure to heat, cold, rain, and active construction environments.

    TRAVEL REQUIREMENTS

    May require travel within Texas. Overnight or out-of-town stays may be needed based on project location.
