    JOB SUMMARY:

    The Project Coordinator supports the Facilities Manager and maintenance teams by organizing project activities, tracking progress, coordinating communication, and ensuring facility capital projects stay on schedule and within scope.

    This role provides administrative and operational coordination across multiple facility initiatives including equipment maintenance, preventative maintenance programs, vendor services, and site improvements. The Project Coordinator ensures clear communication between leadership, field teams, contractors, and internal departments while maintaining accurate documentation, schedules, and project tracking.

    ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

    · Assist in planning, scheduling, and coordinating facility capital projects and site improvement initiatives

    · Maintain project schedules, timelines, and task tracking across multiple maintenance and facilities-related projects

    · Coordinate communication between the Facilities Manager, maintenance technicians, contractors, vendors, and internal departments to ensure projects remain on schedule

    · Track project deliverables, milestones, and deadlines and ensure action items are completed in a timely manner

    · Support preventative maintenance planning by coordinating service schedules and monitoring maintenance activities for facility equipment and infrastructure

    · Coordinate vendor visits, contractor access, service appointments, and site walkthroughs related to facility projects.

    · Maintain organized project documentation including service contracts, work orders, vendor documentation, and maintenance records

    · Assist with monitoring purchase orders, invoices, and spending associated with facility capital projects

    · Track materials, equipment, and parts required for maintenance or facility upgrades to ensure availability when work is scheduled

    · Prepare reports, meeting summaries, and project documentation to keep leadership informed on project status and progress

    · Identify potential delays, conflicts, or resource constraints and communicate them to the Facilities Manager for resolution

    · Assist in coordinating work schedules to minimize disruption to manufacturing operations and production timelines

    · Help ensure facility work complies with company procedures, safety standards, and operational guidelines

    QUALIFICATIONS:

    Work Experience:

    · 2–5 years of project coordination, administrative support, facilities coordination, or maintenance support experience preferred

    · Experience working in manufacturing, industrial, construction, or facilities environments is strongly preferred

    · Experience coordinating vendors, contractors, or service providers preferred

    Education:

    • Associate’s degree in business administration, project management, construction management, industrial technology, or related field preferred • Equivalent work experience may be considered in lieu of formal education

    WORK ENVIRONMENT:

    While performing the duties of this job, the employee sometimes works near moving mechanical parts and is occasionally exposed to excessive noise, extreme heat, extreme cold, and heights. When participating in activities on the shop floor, the noise level in the work environment is typical for a fabrication shop and ear plugs may be used as necessary.
