Project Coordinator – Network Infrastructure
Work Arrangement: Hybrid Job Type: Full-Time, Non-Exempt
Position Summary
The Project Coordinator – Network Infrastructure is responsible for supporting Project Managers and field teams in the successful execution of network infrastructure, structured cabling, low-voltage, and critical infrastructure projects. This role provides operational, administrative, and logistical support to help ensure projects are completed on schedule, within scope, and aligned with client expectations.
The Project Coordinator serves as a central communication hub between Project Managers, field technicians, vendors, clients, and internal departments. This individual is responsible for maintaining project documentation, supporting billing and reporting processes, coordinating resource deployment across multiple job sites, and helping ensure teams have the information and materials needed for successful project delivery.
This position requires strong organization, attention to detail, adaptability, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Provide administrative and operational support to Project Managers overseeing network infrastructure and critical infrastructure projects
Assist with project setup, project tracking, documentation, and closeout activities
Coordinate project schedules, milestones, deliverables, and internal communications to support timely execution
Track project-related costs and ensure labor, materials, subcontractor, and vendor charges are properly allocated to the correct projects
Manage change orders, project revisions, and scope adjustments, ensuring documentation remains current and approvals are captured
Maintain customer, vendor, subcontractor, and project-related documentation required for project execution and compliance
Support procurement and material coordination by tracking equipment orders, deliveries, shortages, and project-specific inventory needs
Coordinate field resource deployment by tracking who is assigned to each project site and ensuring the appropriate technicians, engineers, and support staff are scheduled based on project scope, timing, technical skillset, and client requirements
Maintain visibility into travel schedules, site rotations, project duration, and staffing changes to help Project Managers efficiently deploy resources across multiple active projects and geographic locations
Serve as a key point of coordination for field teams, helping communicate schedule changes, project priorities, and staffing updates
Gather project completion documentation, including photos, field reports, test results, and other closeout materials required for billing or customer deliverables
Work with the Billing and Finance teams to prepare draft invoices and ensure project costs are accurately captured for customer invoicing
Prepare project status reports, dashboards, and summary updates for leadership and stakeholders
Support process improvement initiatives by identifying workflow gaps, inefficiencies, and opportunities for better coordination across teams
Complete additional duties and special projects as assigned by leadership
Required Qualifications
Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and Teams
Strong data entry, reporting, and documentation management skills
Excellent organizational skills with strong attention to detail and follow-through
Strong critical thinking, problem-solving, and time management abilities
Ability to manage multiple priorities and shifting deadlines in a fast-paced environment
Excellent written and verbal communication skills
Ability to work effectively both independently and collaboratively across technical and operational teams
Strong interpersonal skills and ability to build relationships with field personnel, clients, vendors, and leadership
Highly motivated, adaptable, and solutions-oriented with a proactive “get it done” attitude
3–5 years of project coordination, operations coordination, administrative support, or equivalent experience in telecommunications, IT infrastructure, network services, data center operations, or related industries
Preferred Qualifications
Experience supporting network infrastructure, structured cabling, low-voltage, data center, or technical field service projects
Experience with project management or business operations platforms such as Zoho One
Familiarity with project billing, procurement, or resource planning workflows
Exposure to technical documentation, as-built documentation, or project closeout processes
Working Arrangements
Hybrid remote position
Prolonged periods sitting at a desk and working on a computer
Occasional local and out-of-state travel may be required to support project coordination and team deployment
