Project Coordinator (Part-Time) – Mechanical Systems Oversight
Location: Dallas / Garland, Texas Area (local candidates preferred) Position Type: Part-Time / Project-Based Estimated Commitment: Approximately 12 weeks per year during scheduled maintenance, inspections, testing, and repair activities. Experience Required: Minimum 8 years related experience Ideal Candidate: Retired or semi-retired facilities, plant operations, mechanical systems, or HVAC professional seeking flexible project-based work.
Position Summary
We are seeking an experienced Project Coordinator to serve in an Owner’s Representative-style role overseeing preventative maintenance, inspections, testing and repair activities for critical mechanical systems at a large healthcare campus in Garland, Texas. This position is responsible for monitoring contractor performance, verifying scope completion, documenting progress, reviewing reports, coordinating schedules, and providing status updates to ownership representatives.
This is a non-performing oversight role. The Project Coordinator will not physically perform maintenance, operate equipment, or directly service mechanical systems. Instead, this individual will act as the owner’s field representative to ensure contractors complete work safely, thoroughly, and in accordance with contract requirements and applicable standards.
The ideal candidate will have strong experience with central utility plant systems including boilers, chillers, cooling towers, condenser water systems, chilled water systems, and related preventative maintenance programs.
Key Responsibilities
Act as the Owner’s Representative during maintenance, testing, inspections, and repair activities
Observe and document contractor performance and adherence to project scope
Coordinate and attend scheduled preventative maintenance activities
Review contractor reports for completeness, accuracy, and corrective action recommendations
Verify required inspections, testing, and maintenance tasks are completed
Track project schedules, milestones, and completion status
Provide written progress updates and summary reports to ownership representatives
Identify and document deficiencies, delays, incomplete work, or safety concerns
Coordinate communication between facility personnel and contractors
Maintain organized project documentation and inspection records
Verify contractor compliance with maintenance specifications and operational requirements
Attend project meetings as required
Assist with punch list development and closeout verification
Systems & Equipment Oversight
The Project Coordinator will oversee contractor activities associated with:
Chillers
York YK electric-driven centrifugal chillers (900-ton units)
R-22 and R-134a systems
VSD/Starter preventative maintenance
External heat exchanger tube brushing
Condenser water strainers
Coolant systems, hoses, fittings, clamps, and pumps
Monthly preventative maintenance inspections
Review of chiller inspection reports and corrective maintenance recommendations
Cooling Towers
Evapco and Marley cooling towers
Annual preventative maintenance inspections
Scheduling and coordination of maintenance windows
Pump Systems
Chilled water pumps
Condenser water pumps
Heating hot water pumps
Annual preventative maintenance oversight
Boilers
Cleaver-Brooks fire tube boilers
Annual service, cleaning, and testing
Quarterly preventative maintenance inspections
Semi-annual and annual fuel train and air train testing
Verification of compliance with current VHA Directive 1810 testing requirements
Review of boiler testing documentation and inspection forms
Qualifications
Minimum 8 years of experience in central plant operations, mechanical systems, facilities engineering, HVAC systems, boiler/chiller operations, or related industrial/mechanical environments
Strong working knowledge of:
Boilers and burner systems
Chillers and cooling towers
Chilled water and condenser water systems
Preventative maintenance programs
Mechanical equipment inspections and testing
Experience overseeing contractors, vendors, or maintenance service providers
Ability to interpret maintenance reports, inspection findings, and testing documentation
Strong organizational and communication skills
Ability to independently manage schedules and documentation
Proficiency with Microsoft Office including Word and Excel
Familiarity with healthcare, government, institutional, or mission-critical facilities preferred
Prior experience serving as an Owner’s Representative, Facilities Coordinator, Plant Operations Supervisor, or Mechanical Systems Project Coordinator preferred
Preferred Qualifications
Local to the Dallas / Garland, Texas area
Retired or semi-retired plant operations or facilities professional encouraged to apply
Experience working in hospital, VA, healthcare, or large campus utility plant environments
Experience coordinating annual and quarterly preventative maintenance programs
Work Environment
Primarily field-based oversight role
Work performed around active mechanical and utility plant equipment
Occasional climbing, walking mechanical rooms, and navigating industrial environments may be required
No hands-on maintenance work required
Schedule
This is a flexible, part-time, project-based position expected to support approximately six (6) weeks annually during scheduled maintenance outages, inspections, testing periods, and repair activities. Timing of work is generally concentrated between spring and fall maintenance windows
