Job purpose
The purpose of the Project Coordinator is to provide direct support to the Design Manager, Project Manager, Accounting Controller and HR occasionally with jobsite and general administrative work.
Duties and responsibilities
- Familiar with a variety of the field’s concepts, coding, practices, and procedures.
- Receive and process vendor invoices weekly.
- Prepare and enter monthly and ad hoc invoicing.
- Responsible for maintaining a follow-up system for pending items such as TFS shop drawing submittals, RFI’s, and COR’s.
- Saving shop submittals to the appropriate TFS job folders (not CORE folders).
- Maintain material management logs with deliveries, PO’s, CO’s, etc.
- Upload plans to Fieldwire and maintain current plan sets for TFS projects.
- Assist with creation of training procedures and recording of such on online portal.
- Assist in other various human resource administrative functions including communication and enforcement of Company policies and procedures, organization and completeness of network files, and assistance to project teams, as necessary.
- Assists with various special projects for managers and team members as assigned.
- Assist with the documentation required for new hires, onboarding, and separation from employment. This includes
collecting benefit enrollment forms from newly eligible employees, reviewing all documents for completeness and accuracy, and following up on enrollments that have not been returned.
Qualifications
- High school diploma or equivalent.
- Bachelor’s (4 year) degree preferred.
- Proficient in Excel, Outlook, Word, Fieldwire and Smartsheet.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Knowledge of office management systems and procedures
- Excellent time management skills, ability to multi-task, prioritize work and work independently.
- Attention to detail, excellent problem-solving skills, and able to work in a fast-paced environment.
Working conditions
This position is a Monday – Friday full-time position and may require long hours and weekend work in order to meet deadlines and customer needs. Primarily office work, occasional site visits and travel required.
Additional Position Details
- Full time – hourly pay, non-exempt position.
- 40 Hours Per week, however, occasional additional hours may be required.
- 3-4 days per week required to be at the office.
Essential Function requirements
Position requires:
Some Plan reading skills preferred
Material Management Experience
Extended periods of sitting and use of a computer.
Proficient in the use of Microsoft Excel, Word, Outlook, and Field Wire
Occasional lifting up to 25lbs.
The ability to walk jobsites which may include climbing stairs, ladders, long periods of time on their feet, kneeling, bending.
