The Project Manager Administrative Assistant provides support to the Project Management/Estimator Team and also works closely with the Leadership Team. This position carries out responsibilities in the following key areas: pre-bid and pre-job processes and data entry, project scopes and plans, management of prequalifications, contract reviews pre/post bid, material procurement process, collection and analysis of data to prepare reports. Responsibilities: • Manage business and contractor licenses, prequalification, and file retention • Assist in pre-bid and pre-job processes: bid pre-screen, material quotes, fluent on JULIE locates • Negotiate, manage, and maintain associated travel program contracts and LNRs for travel, housing, and car rental • Data entry and file uploads for pre-bid processes • Understands and assists in the communication of job setup and pre-job needs • Reviews contracts for hot-button items and assists and coordinates documents and communication to operations • Liaison between Project Management and Operations Teams • File and retrieve documents and reference materials • Attend meetings and general meeting minutes • Restructure and maintain the file structure and processes • Monitor, screen, respond to, and distribute incoming communications • Answer and manage incoming calls and pre-bid screening • Conduct research, collect and analyze data to prepare reports and documents • Interact with external clients • Assist Project Managers/Estimators with daily tasks as requested • Occasional travel to job sites may be required • Perform other related duties as required and assigned Qualifications: Basic Qualifications: • Excellent oral and written communication skills • Ability to type 50+ WPM • Strong organizational and planning skills • Attention to detail and accuracy • Judgment and decision-making ability • Works independently with strong initiative • Ability to multitask and handle interruptions or changes in priorities • Maintains confidentiality • Position may require some nights and weekends based on demand • Work hours – schedule and volume of hours will fluctuate based on business demand Education/Experience: • High school diploma/GED • 1+ years of clerical or administrative experience • Computer knowledge must include: MS Office Suite- Word, Excel, PowerPoint, and Outlook • Knowledge of standard office administrative practices and procedures Compensation: $45,000 - $50,000
